Wage Range: $27.57 - $44.12 per hour
Posted wage ranges represent the entire range from minimum to maximum. Job Summary: Provides high level, complex administrative support to the Executive Director, Executive Medical Director, and other administrative leadership for the Women’s Specialty service lines. Represents management and/or unit's goals and interests. Provides and coordinates functions involved with unit programs and services, such as budget, space, office and records management. Effectively prioritizes and manages workload to ensure that critical timelines are met, and that accurate work is produced. Provides coordination and management of physician schedule and quality dashboards. Provides administrative support and follow up for assigned service line projects. Primary Duties:- Coordinates activities involving Executive Director and Executive Medical Director and other administrative leadership for the Women’s Specialty service lines, including meeting organization, materials preparation and distribution, meeting set-up, note taking and timely distribution of minutes, and follows up on items as needed.
- Supports development, creation and organization of policies and procedures and various manuals and ensures appropriate distribution. Responsible for coordinating, updating and required reviews of policies, procedures, manuals, staff training and development.
- Responsible for budget maintenance for the administrative department, obtaining supplies, work orders and processing accounts payable for EH Women’s Specialty Care, including tracking CME expenses for EH Women’s Specialty providers.
- Acquires and abstracts data from numerous internal and external sources to maintain and develop a variety of monthly dashboard reports.
- Extracts meaningful data from raw data sources and summarizes, validates and tabulates aggregate data to produce meaningful reports and proposals.
- Promotes quality public relations between the units, referring practitioners, other organizational departments, and the community, per department standards.
- Serves as liaison between assigned service lines leadership and other staff members or departments, transmitting information and assignments and requesting status, per department standards.
- Works collaboratively with HR Provider recruiting to schedule interviews for physician and APP candidates. Creates candidate interview schedules, orders catering, and supports day of interview timing
- Onboards new providers to the Women’s Specialty Care Services. Assists with office set up, ordering business and bio cards, lab coats, and clinic signage. Adds new provider to scheduling software, group email lists, Women’s Specialty Care SharePoint page, and licensing and CME tracking spreadsheets.
- Partners with clinic leadership to develop registration and scheduling training curriculum for service line. Coordinates training for new and existing team members as needed.
- Tracks provider productivity and quality metrics to support leadership contracting and performance appraisal activities.
- Processes provider attestations for quarterly medical director admin hours. Obtains and distributes physician quarterly, quality, patient experience, true up letters and RVU graphs.
- Determines and creates format to display data after analyzing reports and user group information.
- Contributes to and supports the improvement of assigned service line efficiencies to minimize costs in a value-based care environment.
- Assists providers with acquisition of data for reappointment requests.
- Works closely with Physician leadership to create and maintain clinic schedules in organization and clinic scheduling software. Updates provider schedules in organization and clinic scheduling software as needed. Notifies key stakeholders when physician call schedules change.
