Activities Coordinator- Discovery College

Discovery College is searching for a Activities Coordinator. This role will entail a degree of independent work that will require setting goals and tasks that will be approved and confirmed by the Line Manager. Support the Director of Co-curriculum/Sports Coordinator to ensure college activities are developed and run smoothly.
Responsibilities
- Manage college activities with external and internal parties including enrolment, payments, coordination of class lists, permission notes, etc
- Coordinate contracts, facility bookings, transport requirements, staff and student lists, etc
- Coordinate all bus and other transportation needs for activities by working with College staff, the Director of Co-Curricular/Sports Coordinator and outside vendors to negotiate price, dates, timing, etc. Keep all parties informed of progress, tracking payment to ensure all expenses are balanced
- Coordinate external facility bookings i.e. camps, field trips, sports venues, etc
- Run the enrolment of the school’s peripatetic music programme including working with tutors, administering contracts and paperwork, advertising music lessons within the DC community, timetabling music lessons, collecting payments and answering parent inquiries.
- Liaise with external and internal parties e.g. performing arts faculty, PE/sports faculty, PTA, parents, etc
- Promote activities within the DC Community
- Create and maintain an up-to-date attendance register for all co-curricular activities
- Monitor participation rates of activities for co-curricular activities
- Assist the Director of Co-curricular with the coordination of staff CCA allocation
- Collaborate with the Director of Co-Curricular in CCA programme strategy and development
- Respond to all activities-related enquiries from students, teachers and parents
- Prepare internal supporting documents for invoice settlements
- Organise the Hong Kong Speech and Music Festival enrolment, payments and communications.
- Offer office support across the College
- Perform other duties and assume accountabilities as apparent or as delegated, including mutually agreed-upon objectives
Requirements
- University Degree in Administration/Events Management or other relevant subjects
- 3 years of relevant experience
- Fluent in English (spoken and written). Verbal fluency in Cantonese is desirable.
- Strong communication skills are essential
- Excellent organisational and interpersonal skills
- Attention to detail
- Positive attitude
- Creative and imaginative thinker, problem solver, flexible, adaptable, capable of considering different perspectives
- Competent to work under pressure
- Proactive working attitude, result oriented
Note: This position follows a 5-day workweek schedule across the year, including school holiday periods, with the entitlement of annual leave.
