About the role

Summary: 

The Child Mind Institute (CMI) seeks a motivated and detail-oriented individual to join our team as an Administrative Coordinator within the Next Generation Digital Therapeutics Program (NGDT). This 15-month position will help CMI, through its partnership with California’s Department of Health Care Services (DHCS) provide administrative support to ensure the efficient operation of the program. 

This program is being launched to innovate mental health therapeutics and treatment response monitoring tools for children and adolescents using emerging technologies (e.g., biometrics, augmented reality, virtual reality). Smartphone-, web- and metaverse platforms will be the primary focus of the program, with explorations into the potential added value of wearable devices included as well. This position provides the opportunity to engage with a broad range of clinicians, policy-makers, researchers, and community leaders.

This position is responsible for supporting the NGDT Program Director and the NGDT Leadership Team through a variety of tasks related to organization and communication and will be responsible for confidential and time-sensitive material. The successful candidate will gain hands-on experience and in-depth knowledge of what it takes to launch and expand a country-wide program. 

Reporting to the Research Operations Manager, this is a full-time, non-exempt position at the Child Mind Institute headquarters in Midtown New York. A hybrid schedule is possible.

Responsibilities: 

  • Serve as the Administrative Coordinator for the Program Director and Next Generation Digital Therapeutics Program (NGDT) leadership team as a whole
  • Organize, prepare for, and set up virtual and in-person meetings
  • Submit and reconcile expense reports, reimbursements, and invoices 
  • Work with the CMI legal counsel, human resources, and finance to process contracts 
  • Organize and maintain the Program Director and NGDT Leadership team’s calendars and contact lists
  • Coordinate and arrange travel for the NGDT Leadership and team members 
  • Carry out administrative duties such as ordering supplies, filing, copying, printing, binding, scanning, etc.
  • Produce and distribute correspondence memos, letters, and forms as necessary
  • Work with the Program Director and VP of Research to coordinate with external collaborators around the country, as well as at other departments, programs and initiatives within CMI
  • Support the NGDT Leadership team in arranging site visits, program convenings, and other activities related to the program’s implementation
  • Serve as the primary contact for general program inquiries 
  • Identify, review, and select vendors or consultants to meet project needs
  • Work with the NGDT Program Director and NGDT Leadership team to document project activities, milestones, and deliverables to produce quarterly program progress reports
  • Handle sensitive information in a confidential manner
  • Other duties as assigned

Qualifications: 

  • High School Diploma/GED and 5-year experience or equivalent combination of education and experience is required
  • Excellent time management skills and ability to multi-task; must be able to reply to urgent requests and shift priorities for different time zones
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Proven administrative experience 
  • Excellent interpersonal skills and cultural sensitivity 
  • Excellent computer skills and knowledge of Microsoft systems
  • Knowledge of office management systems and procedures
  • Must have the desire to serve and work to fulfill
