Job Description

Exciting Opportunity at MSK: We are seeking a skilled Senior Administrative Assistant to provide essential support to high level Departmental faculty leadership on our team!

The Department of Medical Physics is actively developing methods to address a wide range of imaging, radiotherapy, and engineering challenges in the treatment and diagnosis of cancer. We collaborate among medical physicists, radiation oncologists, radiologists, and clinical investigators to ensure that the latest developments benefit patients as quickly as possible. We are responsible for the safe use of radiation by our patients and staff, the calibration of radiation-producing equipment and radioactive sources, and the design of devices for use by other departments.

 

Role Overview: • Coordinate and participate in meetings, providing technical support, creating/distributing agendas, taking meeting minutes, and following up on action items.• Prepare, proof-read and process documents for approval and/or distribution applying office automation; assist with editing and formatting academic papers.• Track expenses of faculty, staff, and non-employees; process reimbursements and payments• Assist with scheduling and making travel arrangements.• Handle Service Chief/Division Deputy Director’s calendar and schedule meetings as assigned.• Assist Service Chief/Division Deputy Director with the development, planning, and execution of various projects in support of departmental operations and initiatives.• Data gathering, analysis and report generating.• Prepare purchase requisitions, work orders, and process invoices for payment.• Gather information and perform data entry in MSK Time and Qgenda timekeeping systems.• Coordinate new employee team-specific orientation.• Craft and distribute email communications including notifications, announcements, agendas, and invitations.• Coordinate candidate interviews involving multiple partners.• Perform other tasks delegated by the Director and Associate Director

 

Key Qualifications: • 2+ years of experience providing executive-level administrative support• Strong Outlook calendar leadership skills and experience in using Microsoft Office (including Excel, PowerPoint, and Teams)• Ability to multitask in a high-volume office• Proven success at making timely decisions• Adept at building partnerships to meet shared objectives and goals

 

Core Skills: • Effective interpersonal skills, capable of resolving how best to reach different audiences and implement communications based on that understanding.• Strong prioritization, attention to detail, and a shown ability to make timely decisions that keep the organization moving forward• Ability to operate autonomously, with discretion, in a fast-paced and constantly evolving environment• A critical problem-solver who is resourceful with excellent organizational skills and able to handle ambitious assignments• A professional who is comfortable working closely with senior faculty and staff• Capable of building strong customer relationships and delivering customer-centric solutions• Willing to take action and eager to adopt new opportunities and tough challenges with high energy, and passion

 

Additional Information: • Location: 321 East 61st Street, Joy Building 3rd floor • Reporting to: Associate Director Hospital Operations• Hours: Monday-Friday, 9:00am-5:00pm, hybrid

 

Pay Range: $27.80/h-$43.08/h
