Job Summary

Office of General Counsel and Corporate Secretary

We are seeking an experienced and driven Executive Assistant to provide strategic administrative support to the Office of the General Counsel and Corporate Secretary.  The successful candidate will support the Senior Vice President, General Counsel and Corporate Secretary (hereafter “General Counsel”) and the Board of Trustees, and will play a critical role in planning, preparing, and executing quarterly meetings of the board.  This role is a dynamic and high-impact opportunity to be involved in a transformative organization.

As an integral member of the Office of General Counsel’s management team and focal point for the group, this individual will provide collaborative administrative support and leadership to ensure effective and efficient department operations.  They are proactive and take initiative to solve problems independently with autonomy to positively impact the productivity and efficiency of the organization and its leaders. The individual will contribute to key business-related decisions, takes ownership of processes and procedures, and work closely with leaders, colleagues, and customers across the enterprise to ensure the department runs smoothly and meets internal/external deadlines.

The successful candidate will be responsible for creating and monitoring plans, projects, and schedules for the General Counsel.  The individual will complete complex tasks and projects quickly and independently while reacting with the appropriate urgency. Impeccable integrity and discretion in handling confidential information along with the utmost professionalism will be essential.

Work Model

This position will be located 100% onsite in Crystal City, VA.

What You’ll Be Doing

  • Screens, evaluates, and prioritizes the General Counsel's activities: communicates information to management and staff, providing guidance when required. Ensures that urgent communications are identified and given appropriate attention.
  • Assists with administrative and logistical duties related to meetings of the board; assist the General Counsel and the Manager of the Office of Corporate Secretary on trustee-related matters such as queries, information requests, and filings and submissions required by law or corporate policy.
  • Execute strategic, proactive, and complex calendaring, scheduling, meeting management, and departmental event planning and coordination.
  • Arranges complex travel coordination, logistics, and expense reporting.
  • Organizes and maintains confidential files and records to ensure effective retrieval of reference information. 
  • Act as a partner, representative, and point of contact for the General Counsel with frequent interaction with the Board of Trustees, corporate management, various levels of internal management, as well as government customers, contractors, and other high-level officials.
  • Compose correspondence, emails, and reports; coordinates and develops briefing charts, organizational charts, and documents, including research of supporting documentation and materials; may independently sign and release routine but somewhat complex correspondence.
  • Lead or participate in special projects; track and drive deliverables to completion.
  • Collaborates with admins within the group and across the corporation to achieve coverage and increase efficiency.
  • Manages the coordination of employee support for the group/division/sub-division (on-boarding, timesheet administration/auditing, training requirements, supply/equipment orders)
  • Develops and improves effective processes/systems across the enterprise that provide superior organization, efficiency and industry-lead technical best practices
  • Leads by training and mentoring division admins and is a role model demonstrating professionalism, team collaboration, technical expertise, and leadership behavior that is consistent with the company's values.
