Description
Hours: Monday-Friday, 8:00 AM to 5:00 PM (with additional days and hours as needed).
Role: The Imaging Representative is responsible for organizing, scanning, and maintaining bank documents in electronic format, managing physical documents in the loan operations vault, and assisting with record retention tasks. This role plays a key part in ensuring that all documents are accurately and efficiently converted into digital records while maintaining the integrity and organization of physical files.
Essential Functions & Responsibilities:
- Prepare and organize bank documents for the scanning process.
- Scan, index, and annotate physical documents using the imaging system.
- Perform quality control checks before, during, and after scanning to ensure document accuracy.
- Research and retrieve files requested for subpoenas and summons.
- Maintain scanning equipment and materials to ensure operational readiness.
- Assist bank employees with inquiries and document searches in the imaging system.
- Manage vault records by rotating filing boxes, tracking file retention, and filing documents and branch capture items daily.
- Process the daily paid loan list and update the vault database to track loans.

Requirements
Education: High school diploma or equivalent required.
Experience:
Required:
- At least six months of office experience.
- Basic knowledge of PCs and the Microsoft Office Suite.
Preferred:
- Familiarity with Adobe Acrobat.
Skills & Abilities:
- Ability to handle sensitive and confidential information with discretion.
- Strong attention to detail, accuracy, and speed, with the ability to maintain focus during repetitive tasks.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.

Travel: Travel is not normally required for this position. Occasional local travel for purposes of meetings and/or training may occur during the business day.
Work Environment: This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, copy machines, filing cabinets, and fax machines.
