$26.00 per Hour

Position Description:
The Administrative Assistant occupies a unique and vital position at the organization by assisting the Program Manager, Case Management by performing administrative tasks in support of Ritter Center’s Case Management Programs and Services. This position's primary responsibility is to ensure effectiveness in the day-to-day operations as they relate to Ritter’s housing and social service programs and to contribute to the development and implementation of policies and practices to maintain and improve the agency’s administrative functions. The Administrative Assistant is culturally competent and assists with client workflow while creating a welcoming environment.
Job Duties and Responsibilities:
- Manage and increase the effectiveness and efficiency of the Case Management Program’s administrative systems, processes, and policies
- Maintain and implement digital management systems to increase the effectiveness of the Case Management team
- Greet visitors and manage flow of the Case Management office
- Assist Case Managers with client paperwork, scanning, printing, and filing
- Maintain accurate files with high levels or organization and efficiency
- Assist with communications, report development, and documentation
- Represent The Ritter Center’s mission and values in meetings with staff and with community partners
- Establish administrative processes for the Case Management team and assist supervisor with creating the strategy on efficient execution
- Assist in developing solutions to correct gaps in procedures/practices
- Interact with Administrative team on a regular basis, working collaboratively to execute administrative needs
- Assist with candidate screening and hiring for new hires to the Case Management team
- Use Clarity the County’s Homeless Management Information System (HMIS) and other related software or registries (e.g.ECW) to track assigned measures, initiatives, and data
- Manage calendars and promote communication systems within the team
- Meet with supervisors, attend staff meetings and trainings as scheduled and assigned by supervisor
- Adhere to the goals, objectives, and personnel policies of Ritter Center
- Perform other duties as assigned
Qualifications:
- Per our Federally Qualified Healthcare Center (FQHC) requirements employment at Ritter Center requires compliance with being able to produce a negative TB test prior to the start of employment, as well as being fully vaccinated against COVID-19 (unless applying for an exemption) per the August 5th State Public Order for Healthcare Facilities, providers and employees.

- Willingness to work with little supervision on creative tasks that require resourcefulness
- A demonstrated commitment to high professional ethical standards in a diverse workplace
- Ability to excel at operating in a fast paced, community environment with frequent interruptions
- Must be comfortable working with people experiencing homelessness, living with behavioral challenges, and/or living with a mental health diagnosis
- Must use high level of confidentiality while handling patients' sensitive information, abiding and upholding HIPAA standards
- Must have strong critical thinking, analytical, and problem solving abilities
- Ability to look at situations from several points of view
- Ability to multi-task and maintain accurate records and logs
