The Leidos Nation Security Sector currently has an opening for an Administrative Assistant to work in our Alexandria VA, and Pentagon locations. This exciting opportunity will use your experience to support DoD Senior Leadership, and Executive working groups.

Primary Responsibilities

  • Serve as the Administrative Support Specialist to the Director, Joint Data Support and assists with the day-to-day administrative functions for the office (e.g., scheduling and coordinating meetings, calendar management, and general office logistics).

  • Serve as office point of contact for issues including but not limited to facilities, maintenance, supplies, parking, and office-related logistics.

  • Assist in the on- and out-boarding processes for contractor staff.

  • Manage scheduling and disseminate changes in a timely manner to the appropriate staff.

  • Review schedules proactively and make necessary changes.

  • Provide support for meetings, including establishing the agenda, dates/times, and locations of the meetings, scheduling conferences rooms, maintaining access control to facilities, communicating this information to stakeholders, assist in preparing and delivering briefings materials.

  • Coordinate conference room and Video Teleconference (VTC) requirements.

  • Receive visitors and handle visit access requests for office.

  • Coordinate acquisition of office supplies

  • Processing Visit Requests (i.e., security clearances)

  • Managing physical security of classified safe and administering security procedures for access to controlled areas.

  • Protect integrity, authenticity, and confidentiality of records in accordance with established procedures.

  • Maintaining awareness of and competence in headquarters initiatives for communication and information sharing.

  • Maintaining attention to detail in a multi-project work environment, with potential frequent interruptions, with competing needs requiring clear understanding of prioritization.

Basic Qualifications

  • Requires a Bachelors Degree with 5+ years of experience working in classified and unclassified environments (additional experience may be substituted in lieu of a degree).

  • Ability to manage executive schedules, multiple meetings, and working in classified and unclassified environments; arrange classified and unclassified conferences and meetings.

  • Experience using advanced computer skills including information management, using and managing data, setting up and troubleshooting electronic processes to streamline procedures.

  • Expertise managing a wide range of management and administrative duties (travel, calendars, correspondence, organization charts, telephone lists) in support of the office.

  • Experience facilitating senior management correspondence and communication including preparing memos, and correspondence with minimal oversight, as well as accurately compose and prepare effective correspondence and reports.

  • Clearance Requirements: Active DoD Secret Clearance.

Preferred Qualifications

  • Experience working within the Department of Defense

  • Detail oriented, professional demeanor with strong organization and proven interpersonal skills.

  • Ability to exercise mature judgment and make independent decisions in accordance with established policies, rules and procedures.

  • Ability to work in a team environment, interacting with a range of federal and contractor staff.

  • Proficiency in the Microsoft Office suite (MS Word, MS PowerPoint, Outlook, and MS Excel) with particular emphasis on word processing, presentation, and spreadsheet applications required.

  • Experience maintaining physical security of classified safe, including all content, from creation through destruction in accordance with and in compliance with applicable regulations.
