Job Description

Summary: The Administrative Assistant provides administrative support to senior leaders of multiple business units and is a resource for the business unit’s staff.    As a member of the Executive Support Workgroup, the Administrative Assistant collaborates with team members in providing seamless administrative support coverage for MedImpact business units.  

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Provide administrative support to department management which includes compiling data and preparing high-level reports; preparing correspondence, taking meeting minutes, maintaining department policies and procedures, filing, copying, making travel arrangements, coordinating meetings, coordinating unit events, ordering supplies, and distributing department mail.
  • Coordinates meeting schedules, conference calls and appointments as well as handling  logistics (reserving meeting location, invitations via Outlook calendar, set up conference calls, arrange for refreshments, coordinate agenda and technical needs) and handles special requests as needed.
  • Handles travel arrangements and logistics through an on-site Corporate Travel Manager (or agency as needed) and ensuring follow-up confirmations for intended destination. Ensures compliance with company travel budget and that employees are educated on travel policy.  Manages expense reports and reimbursements for the traveler.
  • Work with Human Resources to assist in: setting up interviews, preparing employee action requests for signature, maintaining the department’s organization charts, and ensuring that the Kronos timekeeper is updated.  Handles new employee on boarding, ensures IT related assets are ordered, plans travel logistics, as well as meetings to orient new employees.
  • Completes and administers special departmental projects. Acts as a lead on projects in an effort to ensure effective, timely, and accurate project completion.
  • Manages hard-copy file and electronic drive maintenance to conform to company policy and other repetitive tasks.
  • Other responsibilities as assigned based on business needs.

Education and/or Experience

Associates degree (or equivalent combination of education and experience); 2+ years’ related experience in an administrative or high level customer service role.

Computer Skills                                                                                                                      

To perform this job successfully, an individual should have knowledge of Microsoft Office Suite (Word, Excel, PowerPoint).

Other Skills and Abilities

Exceptionally organized and meticulously detail-oriented with a high degree of accuracy and efficiency.   Ability to effectively balance a variety of tasks and to prioritize urgent issues effectively.  Ability to write simple correspondence, effectively work as a team player and maintain strict confidentiality. Ability to create and maintain positive working relationships with team members and with key interdepartmental contacts. Ability to work with all levels of employees with professionalism and tact.
