This position will oversee time sensitive and confidential client documents.

You Will (Responsibilities)

  • Assist in training, coaching, and supervising the workload of administrative associates in one assigned administrative pool:
  • - Assemble, Deliver and E-file (tax processing)- Administrative Support- Receive, Scan and SurePrep- Client Experience Support
  • Participate in the annual evaluation of administrative associates.
  • Ensure excellent service is provided consistently to both internal and external clients.
  • Promote and maintain a positive and safe working environment for employees.
  • At the request of the Tax Administration Senior Manager, collaborate in firm-wide initiatives working with other firm leaders.
  • Assist tax administration during busy season as necessary.

  • 1. Assemble, Deliver and E-file (tax processing)
  • · Monitor and assemble complex/multi-state/multi-level tax returns.
  • · Assist in training and advising tax admin associates on complex assembly.
  • · Coordinate and schedule complex assembly with Partner, Director, Manager, Supervisor (PDMS).
  • · Coordinate and schedule special deliveries with PDMS and clients.
  • · Run reports and monitor outstanding E-file forms.
  • · Release E-file of complex/multi-state/multi-level tax returns.
  • · Process rejections.
  • · Verify all tax projects are clear on tax due dates. Follow up with the necessary PDMS per your judgement.
  • · Roll projects annually.
  • · Generate, update, and distribute tax due date list to PDMS in a timely manner.
  • · Populate annual tax organizers.
  • · Oversee set up of new projects in CCH Workstream.

  • 2. Administrative Support
  • · Oversee administrative support to PDMS and staff.
  • · Ensure CRM system data is accurate and complete.
  • · Provide excellent internal client service to support tax department team members.
  • · Oversee annual client engagement letter generation and delivery.
  • · Issue reports on missing engagement letters.
  • · Responsible for offboarding of No Longer Clients (NLC) (termination letter, deletion of portals, issue prior year returns, back up files).

  • 3. Receive, Scan and SurePrep
  • · Oversee and perform receiving, scanning, and SurePrep submission and verification.

  • 4. Client Experience Support
  • · Oversee new client onboarding.
  • · Assist with onboarding new tax administrators, including training in applicable tax software.
  • · Oversee Client User Support (BPM software platforms).
  • · Oversee the Client Experience Support (missing signed ELs, e-file forms, open items, etc.).

You Have (qualifications)

  • You have (qualifications):
  • Bachelor’s degree or equivalent work experience. 
  • Minimum of three years of related experience in a professional services environment with progressively increased management responsibilities.  Experience in public accounting is a plus. 
  • Demonstrated leadership abilities, people, and project management skills, and an ability to identify and implement creative solutions to enhance productivity, efficiency, and effectiveness of operations, systems, and procedures.
