About the role

The Administrative Assistant will provide administrative and clerical support to managers, employees, and customers with daily office needs and general administrative projects in a professional manner.

Administrative: 

  • Maintain Outlook Calendar and coordinate activity including appointments, conference calls, and meetings. This includes handling reminders, rescheduling appointments, arranging in-person and virtual meeting logistics and/or taking and preparing meeting minutes, and provide refreshments as needed.  
  • Maintain Director’s email accounts, as requested. 
  • Maintain a current internal phone and email list and distribute with updates as they occur. 
  • Compile, format and edit, correspondence and reports using cloud-powered Microsoft 365, Microsoft Word, Excel, PowerPoint, and Adobe Pro 
  • Assist with other related clerical duties such as photocopying, faxing, filing, and collating. 
  • Provide support and data as requested for administrative purposes and in support of the Quality Management System. 
  • Perform detailed data entry and retrieval as required. · 
  • Perform other duties as assigned at the discretion of management.

Activity and Deliverable Tracking: 

  • Ensure workstation and facility is manned and secure during regular business hours to prevent unauthorized access. 
  • Greet, assist, and direct customers, visitors, and staff as appropriate. Screen as necessary if guest is not expected. 
  • Answer and screen telephone calls and direct to the appropriate associate. Transfer callers to the associate’s voice mailbox and/or take messages when the associate is unavailable.  
  • Provide callers with information such as company address, directions to the company location, company fax numbers, company website and other related information.  
  • Receive, sort, track and forward incoming and outgoing mail and publications. Assist with pick-up and delivery of express mail services (FedEx, UPS, USPS, etc.). 

Correspondence: 

  • Serve as a main point of contact for sub-contractor’s incoming and outgoing tasking deliverable and correspondence. 
  • Review, analyze, and prioritize all incoming tasking deliverables and correspondence for offices within OCX and OQRC and various external reviewers, other Federal or state agencies, and non-governmental organizations. 
  • Distribute and manage correspondence taskings and follow-up to ensure timely responses to the sub-contractors, officers, and other components. 
  • Track tasking deliverables and correspondence.  
  • Preparation of records. 
  • Other assignments, as delegated by the Senior Correspondence Action Officer.


Education

  • Bachelor's degree in related field is required.  Work experience may substitute for the education requirement.     Each 2 years of related experience is equivalent to 1 year of college.  

Experience

  • Minimum of six (6) years of commensurate experience in a business office environment is required, ten years total if no degree.

License, Cert or Registration

  • Proof of U.S. citizenship or proof of authorization to work in the U.S. 
  • Ability to satisfy a background investigation to obtain a security clearance.  

Special knowledge, skills, & abilities

  • Must be proficient with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).  Visio experience preferred.
  • Requires effective relationship management skills with co-workers in a team environment and with customers and suppliers.  
  • Must be courteous, customer focused, well organized, flexible, and able to demonstrate proficient communication.
  • Ability to communicate effectively, both orally and in writing required.  
  • Must have database management skills, including training database.
  • Ability to gather data, compile information, and prepare reports required.
  • Must be able to maintain confidential records and information.
  • Knowledge of supplies, equipment, and/or services ordering, and inventory control required.
  • Must be skilled in the use of operating basic office equipment.
  • Must be able to perform simple accounting procedures.     
  • Must be self-motivated with a results-driven approach.
