SUMMARY/PURPOSE:
The Administrative Coordinator position is responsible for assisting the production team in meeting reporting and production requirements. This position includes several backup responsibilities to the HR, Quality, Production, and Shipping Team and safety records management. Additionally, the Administrative Coordinator will assist with data recording and KPI tracking.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Ability to work flexible schedules as needed to meet safety and other training requirements
- Maintains all record keeping and compliance requirements for safety
- Assists in maintaining compliance documents including quality procedures, environmental records, and others as assigned
- Process daily production paperwork ensuring completeness, accuracy, and digital archiving of same
- Order production supplies and maintain purchase orders
- Serve as a backup to processing daily production into LN
- Process weekly reports from various systems for MOS and KPI reporting
- Point of contact for new employee orientation
- Maintains and ensures completion of onboarding, ongoing compliance driven, and ad-hoc safety training
- Serves as full backup to quality technician and shipping coordinator roles
- Enter new employees into time clock, issue badges and training on time clock usage
- Maintains and reports on safety and quality surveys, observations, and inspections
- Contribute to a team effort by proactively assisting internal contacts
- Ensures availability of production, office, and safety supplies including administering the safety shoe and glasses programs
- Attend training programs to develop relevant knowledge, techniques, and skills
- Perform related duties as assigned by Manager
- Participates in safety committee, inspections and observations, and incident investigation
QUALIFICATIONS/EXPERIENCE/EDUCATION:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
- High school graduate or equivalent GED certification.
- Preferred 1 -3 years of experience as an Office Manager and/or production administration role.
- Preferred basic knowledge of production processes within manufacturing
- Must have well developed computer skills including Excel, Word, PowerPoint, and MRP software
- English, Spanish, bilingual preferred
- Must have excellent organizational skills, must be able to record, file and retrieve information in an organized and timely manner.
- Preferred knowledge of safety programs and training requirements
- Ability to handle multiple tasks with varying deadlines
- Ability to work with confidential information/situations and maintain confidentiality
- Operates with flexibility and approaches opportunities with an open mind, an orientation towards results, a solid business perspective, and a sense of urgency and ownership of the solution
- Excellent oral and written communications skills through all levels of management
- Must possess strong analytical and problem-solving skills
LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write routine reports and legibly complete time cards and work orders. Ability to read, analyze, and interpret technical procedures and read blueprints and technical drawings, such as machine, mechanical, pneumatic, hydraulic, and electrical. Ability to effectively present information in one-on-one and small groups situations to other employees of the organization. Ability to effective present information and respond to questions form groups of managers, clients, customers, and the general public.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute
