The American Heart Association has an excellent opportunity for a Business Operations Coordinator in our Quality, Outcomes Research & Analytics (QORA) department.
This position can be home based.

Responsibilities
This position will report to the QORA Operations Manager. Expectations of this role include those below in addition to other duties as assigned:
- Communicate regularly with Operations Manager to assure tasks are completed according to QORA Operations timeline and QORA priorities.
- Manage project documents, including budgets, timelines, and reports on status for internal and external audiences.
- Create a solid working relationship with all QORA teams for purposes of coordinating efforts to complete operational processes in compliance with QORA standard operating procedures and business processes outlined in QORA Operations Guidelines.
- Oversee complete process for all QORA contract and invoicing (revenue and expense) requests.
- Review all incoming requests for compliance, operational issues, legal concerns, and confirm budgetary allocations.
- Submit and track requests according to QORA priority schedule.
- Maintain and monitor log for all requests and communicate current status with QORA staff.
- Establish regular meetings with the Association Procurement, HR, BT, Legal, and Finance on QORA upcoming and current requests.
- Approve contract requests as authorized by Association Legal.
- Coordinate expedited requests.
- Manage esignature process.
- Support overall efforts to improve project efficiency, including streamlining processes, creating document templates, and be a liaison for QORA to other Association departments as well as outside third parties.
- Update unrestricted and restricted budget files and present monthly to budget managers.
- Maintain QORA pcard report and notify applicable staff representatives for completion status.
- Meet regularly with QORA project coordinators on outstanding requests, approvals and signatures.
- Work with cross-functional teams to ensure contractual obligations and deliverables are met according to project schedule.
Qualifications
- Bachelor’s degree or equivalent work experience.
- Two or more years’ experience with operational oversite such as project management, customer service, distribution/fulfillment, office administration, budget and expense functions including contract review and compliance.
- Knowledge of contract review and approval processes.
- Proficient with Microsoft Office applications; Excel power user.
- Proficient with financial applications or automated accounting systems.
- Proficient with assigned functional applications or systems including Customer Relationship Management (CRM) and/or shared document repositories (intranet operations) such as SharePoint.
- Excellent verbal and written communication skills.
