About the Role
The Capital Project Coordinator serves as the college’s primary day-to-day representative for capital construction projects, ensuring successful execution from planning through closeout. This role translates strategic direction into action by coordinating architects, contractors, and campus stakeholders, while managing schedules, budgets, and project communication. Working closely with the Associate VP, this position enables leadership to focus on long-term strategy by taking ownership of project delivery, resolving issues in real time, and driving projects forward with accountability, clarity, and minimal disruption to campus operations.
What You'll Do
- Owner’s Representative / Project Execution
Leadership – (80%)
- Serve as the college’s day-to-day owner’s representative across multiple capital projects
- Translate leadership vision and project intent into clear, executable plans with architects, engineers, and contractors
- Lead weekly construction meetings, track decisions, and drive follow-up actions to closure
- Coordinate and align contractors, vendors, and consultants to maintain schedule, scope, and budget
- Act as the primary coordination point between facilities, campus stakeholders, and project teams
- Manage project communication flow—ensure the right people are informed at the right time (issues, risks, changes)
- Monitor field progress and proactively address schedule risks, conflicts, and resource gaps
- Drive accountability for quality, safety, and adherence to contract documents
- Review and manage change orders, identifying cost/scope impacts and recommending action
- Track and verify pay applications and project costs against approved budgets
- Maintain organized project documentation (logs, decisions, RFIs, submittals, meeting notes)
- Coordinate campus impacts (access, shutdowns, interruptions) to minimize disruption to operations
- Lead project closeout activities including punch list completion, turnover documentation, and warranty tracking
- Project Planning / Pre-Construction Support
– (15%)
- Support AVP in project formation, scope definition, and early planning efforts
- Provide input on constructability, sequencing, and campus integration risks
- Assist in developing project budgets and high-level schedules
- Coordinate early engagement with stakeholders and user groups to refine project requirements
- Support the preparation of bid packages and contractor selection processes
- Ensure alignment with campus standards and long-term master planning priorities
- Campus Coordination & Stakeholder
Engagement – (5%)
- Lead coordination with campus departments affected by construction activities
- Translate project details into clear, practical impacts for non-technical stakeholders
- Facilitate project-specific stakeholder meetings focused on operational details and readiness
- Ensure projects reflect functional needs of end users while staying aligned to scope and budget
Qualifications:
Minimum Qualifications:
- Bachelor’s degree in construction management, engineering, architecture, facilities management, or related field
- 3 years of experience managing or coordinating construction or capital projects
- Demonstrated experience coordinating architects, contractors, and vendors across multiple projects
- Working knowledge of construction processes, project schedu
