Job Description

The Facility Operations Assistant plays an integral part in Office Services by supporting the daily operations of the Toronto office space.  The Assistant works in collaboration with the Manager, Facilities to ensure the day-to-day operations in the office are dealt with in an efficient, professional, and timely manner.  This position is responsible for the upkeep of the following key areas: security, housekeeping, HVAC, plumbing, furniture, appliances, electrical components, and cable services.

Main Responsibilities

Facility Operations

  • Assist Manager with the daily maintenance and upkeep of office.  This includes the following key areas: security, housekeeping, HVAC, plumbing, furniture, appliances, Rogers cable outlets, etc.

  • In conjunction with Manager troubleshoot and resolve security issues (card readers, mobile access, security cameras, door mechanics and office alarm systems).

  • Ensures building maintenance work orders are completed in a timely fashion.

  • Conducts daily sweeps of office to identify any facilities issues and resolve basic issues (i.e. lights out, water leaks, stains, broken or worn furniture, finishes, troubleshooting the dishwasher, changing C02 tanks for carbonated water etc.)

  • In conjunction with the Manager coordinates service for office equipment, appliances, and furniture.

  • Coordinate and assist with furniture reconfigurations

  • Ensure the entire facility is held up to the highest appearance standards.

  • Listen to staff complaints, comments, and inquiries in areas of responsibility and resolve or escalate when appropriate.

  • Coordinate and execute internal staff seating moves.

  • Responsible to enter tickets, resolve and follow up on facility requests/issues as they arise.

  • Stock and inventory PPE supplies in the office.

  • Actively participate on the JHSC and Life Safety teams.

Other Duties

  • Assist with construction work and projects as directed by management.

  • Other tasks and special projects as directed by management.

Qualifications & Requirements

  • Schedule: Monday - Friday, 8:30am - 5:30pm ET

  • Minimum 3 years of experience in an administrative support role in a busy and corporate setting.

  • A lot of walking at certain times of the day.

  • Requires the ability to stand for long periods of time.

  • Ability to bend and stoop to facilitate repairs.

  • Ability to lift and push a cart between 10-50 lbs.

  • Manual dexterity for handling small and large items.

  • Strong interpersonal and communication skills.

  • Effective communicator with a customer-centric tone, in both written and verbal communication.

  • Polished, demonstrating tact, diplomacy, composure, and discretion while maintaining a high degree of professionalism and comfortable working in an executive corporate environment.

  • Ability to thrive in a fast-paced environment with ambitious goals and multiple priorities.

  • Juggles multiple projects through inception to completion under time constraints.

  • Effectively deals with ambiguity and change, while remaining calm; ability to cope with changing priorities and meet deadlines.

  • Highly motivated; able to work independently and/or as part of a team.

  • Proficient use and knowledge of Microsoft Office tools.

  • Post-secondary education preferred.
