General Description/Primary Purpose

This position provides accounting services to support multiple business units within Business Services. Services provided include financial statement preparation and analysis, inventory control and reconciliations, journal voucher processing, cash control, reconciliations and deposits, tracking of contract deliverables for multiple revenue generating contracts, departmental recharges and external customer billing and A/R management. This position also serves as backup for customer service in the front office. This position is the only one providing these services and acts as direct backup to the Budget Coordinator. Position requires the ability to analyze business situations and to independently develop recommendations and solutions to mitigate risks and improve business controls and reporting of financial results.

Job Functions

  • Monitors and maintains the Business Services departmental budget and purchase orders for Administration, Postal Services, Pay-for-Print, Convenience Copy, Bookstore, Food Service, ID Card Office, Retail Leases, snack and beverage vending, and project accounts.
  • Provides ongoing financial analysis of business unit budgets and advises/facilitates unit managers and other administrative staff in making corrections and adjustments as required and facilitates coordination with the Director, Associate Director, and Controller’s Office.
  • Develops and maintains financial reports used on a monthly and quarterly basis for management of all Business Services business units and reporting to university administration.
  • Reconciles physical inventories with the general ledger, develops and maintains reports, and recommends operational policies and procedures to track activity and identify variances.
  • Manages invoicing processes and receivable collection for third-party contractors.
  • Process general budget ledger journal entries, requisitions, change orders, and direct pay.
  • Assists in the preparation of annual budgets, gathers data, and provides other pertinent information as required by the Director and Associate Director of Business Services.
  • Assists in the development and preparation of cost studies and special reports as required.
  • Assists as the department expert for financial management systems, including support to Business Services administration and business units.

Marginal Functions

  • Monitors contract deliverables for all contracts.
  • Monitor construction project spending.
  • Assist front office staff in serving customers during peak periods.
  • Other duties and committee service as assigned.

Departmental Requirements

  • Experience in Higher Education or Government preferred.
  • Experience with Workday preferred.

 

Required Qualifications:

A Bachelor’s degree from an acceptable accredited institution in a directly related area of specialization; or a high school diploma and four years of experience directly related to the job functions. Directly related college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.
