Are you looking for a unique opportunity to support The Hartford’s Technology & Operations organization?

Explore our C-Suite Executive Assistant role supporting the Chief Data, AI & Operations (DAIO) Officer based in our Hartford, CT Home Office! In this role, you will support the Data, AI and Operations organization and make an impact that helps us deliver differentiated technology and data solutions to our customers and employees aligning with our ambitious technology and growth agenda.

Key Responsibilities:

  • Strategic Planning Support & Projects: Assist in the development and execution of strategic initiatives by providing research, analysis and administrative support.  Complete other ad hoc duties or special projects as requested, such as executive onboarding and coordinating office moves
  • Executive Communication: Prepares and coordinates materials for meetings of significance (i.e. externa/internal presentations, Board Meetings, etc.). Communicate on behalf of management to all levels of staff, providing effective and accurate updates, presentations, and announcements within and outside the organization leveraging the most efficient and effective technologies.
  • Executive Calendar Management: Organize and manage complex calendars and schedules for the Chief DAIO Officer, including meeting set-up, invitations, room reservations, technology, and meeting materials. Use decision-making skills to resolve potential schedule conflicts.  Proactively manages and coordinates the scheduling of leader meetings related to release management, which may necessitate work for weekend releases.
  • Staffing/Req Management: Facilitates the comprehensive management of talent requisitions across the organization, ensuring seamless coordination of open requisitions with hiring managers, recruiting, HRBP, Comp, and LPM function. Oversee tracking of requisition statuses and detailed reports to provide actionable insights to leadership.
  • Voice of Frontline, Employee & Customer Initiatives: Takes full ownership to drive the execution of customer-centric initiatives to include orchestrating site visits, call listening sessions, and focus groups for the leadership team.
  • CEO| Board Level Planning:  Accountability for planning, preparation and the coordination of ELT agendas for various strategic engagements such as external partner meetings,  Silicon Valley visits, bi-monthly Gen AI | Transformation sessions.   
  • Conference & Training Management: Manages the conference/training budget and oversees coordination of talent nominations, selection, conference arrangements, and reporting for the broader organization.
  • Real Estate Management: Owns accountability for real estate moves across organization, and acts as the liaison between Real Estate and leadership to plan, organize, and facilitate staff moves.
  • Stakeholder Coordination: Partner with various stakeholders and executive admin staff for the ELT and business leaders to gather data, understand timelines, and coordinate deliverables.
  • Operational Efficiency:  Establish management and leader routines; track key initiatives and deadlines for the leader and executive team, ensuring follow-through and timely execution.
  • Large-scale Event Planning: Oversee large-scale event planning, including venue selection, attendee lists, invitations, agendas, catering, and expenses.
  • Travel and Expense Management: Manage domestic and international travel and expenses, including booking travel arrangements, itineraries/logistics, and processing expense reports.
  • Standards Development and Leadership: Develop standards and best practices for other administrative staff within Technology & Operations and serve as a leader and role model within that administrative community
  • Reporting, Presentation & Document Management:  Create and edit presentations, agendas, spreadsheets and reports.  In addition to the production of reports, analyzes data to draw insights and inform leadership for action. Assists in maintaining distribution lists, organizational charts, and other team-related documents. 
  • Confidentiality and Discretion: Use discretion, confidentiality, and sound judgment to handle C-Level matters.  Requires detailed knowledge of Tech & Ops organization as well as company policies and standards.
