The Role

Fathom is seeking an Event Operations Analyst to lead the logistics, coordination, and on-the-ground execution of our high-impact events, including salons, workshops, summits, and VIP convenings. This is a critical role supporting our broader programming and policy goals by ensuring our events are flawlessly executed, deeply impactful, and consistently delightful for attendees.
This is a high-energy, high-accountability role for someone with excellent operational instincts, a strong sense of ownership, and a knack for building trust across vendors and teams. You will work closely with the Sr Director of Marketing and engage directly with venues, production teams, caterers, and other external partners to ensure every detail is right—and every gap is covered.

Key Responsibilities

Event Logistics & Execution

Own all logistics for in-person events, from site visits and space planning to run-of-show execution
Manage timelines, checklists, load-in/load-out plans, and back-end coordination for vendors and staff
Lead venue coordination, food & beverage, AV, signage, security, transportation, and hospitality logistics
Ensure all attendees, speakers, and partners experience exceptional operational support

Vendor & Partner Management

Serve as a point of contact for vendors, managing relationships with professionalism and urgency
Hold vendors accountable to quality standards, timelines, and contract terms
Identify operational risks early and proactively resolve issues to avoid disruptions

Cross-Team Coordination

Work across internal teams (communications, policy, leadership) to ensure all event elements are synchronized
Anticipate needs and fill gaps—whether that means assembling materials, tracking RSVPs, or greeting guests on-site
Represent Fathom with confidence and poise to speakers, stakeholders, and VIP attendees

Post-Event Analysis & Optimization

Debrief with the team to identify operational wins and areas for improvement
Manage follow-up tracking, thank-yous, invoicing, and reconciliation
Contribute to templates, SOPs, and systems that make Fathom’s events more scalable over time

Qualifications

2–5 years of relevant experience in event operations, hospitality, production, logistics, or similar high-touch execution roles
Exceptional organizational skills; you track every detail and keep multiple projects moving at once
Proven success managing vendors, timelines, and run-of-show logistics for high-stakes events
Strong interpersonal skills and a high EQ—you can build rapport with VIPs, troubleshoot with vendors, and rally a team under pressure
Comfortable with ambiguity and adaptable in fast-paced environments
Excellent verbal and written communication skills
Ability to travel regularly and work evenings or weekends during event windows
Deep alignment with Fathom’s mission and excitement for the convening side of public-interest tech
