The Executive Assistant will provide high-level administrative support to the President of Altar’d State at Home. They will also serve as a liaison to senior management teams across the organization; organize and coordinate executive outreach; and oversee special projects. They must be driven, highly organized, and thrive working in an entrepreneurial, fast-paced office environment. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, strong multi-tasking skills, and uncompromising attention to detail.
Responsibilities
Manage sensitive matters with a high-level of confidentiality and discretion.
Manage and maintain complex calendars and schedules, resolving conflicts across the organization.
Prepare Word, Excel, and PowerPoint presentations, agendas, reports, special projects, and other documents in support of organizational objectives.
Arrange and manage executive travel and accommodations both domestic and internationally; manage and reconcile travel expenses ensuring accurate and timely submission.
Oversee and manage office operations, manage and order supplies, and vendor coordination ensuring a well-organized and efficient work environment.
Track and manage office budgets, including expenses related to travel, supplies, and vendor contracts.
Implement and improve expense tracking systems to optimize financial efficiency.
Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
Ensure efficient and timely written and verbal communication and effective time management.
Draft and prepare correspondence for internal announcements, leadership meetings, and organizations that the executive is involved with.
Manage the Executive’s contacts and respond to emails, texts, and calls, including outside business hours.
Use discretion, confidentiality, and sound judgment to handle C-Level matters.
Represent the company and Executive in a positive light through great follow-through and professionalism.
Conserve the Executive's time by reading, researching, collecting, and analyzing information as needed in advance.
Complete ad hoc projects as assigned, including personal events and family-related tasks.
Attend and record minutes of meetings; transcribe and distribute minutes.
Maintain a flexible schedule and travel as necessary, mostly between SF and LA.
Our Requirements
5+ years of proven experience as an Executive Assistant, Office Manager, or in a similar role supporting senior leadership.
Demonstrated expertise in project management, prioritizing competing demands, and driving initiatives to completion in fast-paced, high-pressure environments.
Strong organizational and time management skills, with the ability to handle multiple tasks and meet tight deadlines.
Move with urgency and precision, anticipating needs and adapting seamlessly to shifting priorities and evolving circumstances.
Excellent written and verbal communication skills, with the ability to handle sensitive information and difficult conversations with discretion.
