About the role

Job Summary:

Under general supervision, coordinates a specialty surgical care team, ensuring smooth daily operations. Provides backup coverage for all sub-specialties and supports patient access and care coordination.

Education & Experience:
  • High school diploma or GED required.
  • 3+ years of experience in customer service or a related field.
  • Experience handling multiple calls under stress preferred.
  • Previous experience in a surgical specialty setting and medical terminology knowledge preferred.
Licensure & Certification:
  • Not required.
Essential Functions:
  1. Manage phone calls for the specialty care team.
  2. Schedule patient appointments and tests, ensuring necessary authorizations.
  3. Coordinate outside studies and therapy, ensuring results are received.
  4. Align follow-up visits with required tests or treatments.
  5. Facilitate physician-to-physician communication.
  6. Cancel and reschedule appointments as needed.
  7. Review and ensure medical imaging is properly loaded into the system.
  8. Schedule ambulatory procedures and obtain pre-authorizations.
  9. Process and route external referrals.
  10. Return patient calls and provide follow-up instructions.
  11. Assist in training new team members.
  12. Manage physician travel and academic calendars.
  13. Handle urgent patient requests.
  14. Support financial processes, including insurance authorizations and billing inquiries.
  15. Perform other assigned duties.
Skills & Qualifications:
  • Ability to multitask across multiple software systems.
  • Self-motivated and capable of independent work.
  • Positive attitude when interacting with patients and staff.
Work Environment:
  • Medical office setting.
Physical Requirements:
  • Frequent sitting, standing, and walking.
  • Occasional lifting (up to 50 lbs.).
  • Requires manual dexterity, hearing, and visual acuity.
