About Porter-Billups Leadership AcademyThe Porter-Billups Leadership Academy (PBLA) is Regis University’s flagship college prep program.
Established in 1996 by men’s basketball coach, Lonnie Porter, PBLA has grown from 22 students its first year to 220 in 2024. The three-week summer academy for 3rd through 12th graders cultivates character development through an extensive academic curriculum and exposes young leaders to career opportunities in their pursuit of individual success. The Academy is held on Regis University’s main Northwest Denver campus, which provides students with ongoing exposure to a college campus, so they are comfortable once they are ready to attend themselves. PBLA graduates who successfully complete the multi-year participation requirement and qualify financially for admittance are provided with scholarships for tuition and fees to Regis University.
Reporting directly to the Director, the Administrative Manager is responsible for the oversight of daily operations for the PBLA office ensuring tasks that are broad in scope and highly varied are completed efficiently and effectively. This role plays a vital role in supporting the PBLA mission by ensuring smooth operations and creating an environment conducive to learning, development and community
engagement.
The ideal candidate will be a self-starter with strong organizational and communication skills. They will demonstrate problem-solving abilities and adaptability with a collaborative spirit. Poise is essential, as the candidate must engage and build relationships with a variety of constituents in the Regis community. A commitment to the Academy’s mission is crucial, along with technical proficiency to support data-driven decision making.
Major Duties and Responsibilities:
Essential:
Responsible for the day-to-day operations of the PBLA office. Ensuring that all tasks are completed efficiently and effectively. (65%)
Manages logistics related to the annual PBLA fundraising dinner, PBLA Golf Tournament and other site-based events that align with the Academy's mission. These duties include site arrangements, registration processes, volunteer coordination, promotional materials and program design, facility and vendor contracts, etc. (20%)
Assists in planning and managing PBLA Advisory Board and Associate Board meetings. (.5%)
Serves as liaison to the Regis University Advancement Services Department to assure proper recording and stewardship of philanthropic gifts to PBLA. (2%)
Assists in managing the PBLA operating and special events budgets, tracking revenue and expenses, paying invoices and other related activities. (5%)
Maintains database and generates reports using system and software tools, such as Office 365 Colleague and Salesforce. Assures quality and accuracy of information, both in computer files, document imaging, and hard copy correspondence files. (5%)
Assists in developing and implementing operational procedures, technology integration and systems and managing budgets and financial reports. (.5%)
Ensures compliance with Regis’ protocols, policies, and procedures. (1%)
Serves as a point of contact for staff, faculty, students, alumni and other community partners, ensuring information is conveyed accurately and promptly, fostering collaboration and support. (1%)
MINIMUM REQUIREMENTS:
Education:
High School Diploma or GED required. Bachelor’s degree preferred.
Required Qualifications:
Minimum of 4 years of progressively responsible administrative support experience. Experience working in a high-profile office setting and/or in higher education is preferred.
Prior experience managing projects to include scheduling, planning and meeting deadlines.
Demonstrated experience working with a variety of projects with various timelines and a continual need for prioritization.
Knowledge, Skills, Abilities:
Ability to manage data within a complex relational database.
Ability to work with a wide variety of software, including Microsoft Office.
