Fiduciary Trust is hiring a Client Onboarding Specialist to work in our St. Petersburg office on a hybrid basis (1-2 days per week). The Client Onboarding Specialist is responsible for successful client onboarding, opening new accounts for existing clients, and closing terminated relationships. S/he is responsible for initiation, processing, and coordination of all account opening processes required to enable transactions for investment and client facing professionals. The Specialist partners with various operations teams for the client onboarding process and special projects to continuously improve the process.
What are the ongoing responsibilities of a Client Onboarding Specialist?
Managing the onboarding process for various clients including but not limited to investment management, trust & estates and custody-only accounts
Liaise with front office departments to understand and coordinate delivery of appropriate documentation to the client (i.e. contracts)
Assess client onboarding documentation for completeness, accuracy, validity, and readiness for onboarding
Work with front office and clients to obtain missing information needed to complete verification and onboarding
Collect and review the required account opening documents to determine proper administration of account, account type, requirements under state laws, dispositive provisions, beneficiaries, tax situs, GST status, fee analysis, etc. in order to prepare ticklers and other account maintenance requirements
Interpret language in trust agreements and legal documents as it related to completing KYC
Coordinate and perform basic KYC screening on existing clients
Perform day to day activities that align to KYC/AML regulatory policies and procedures and within tight deadlines to meet agreed service levels with utmost focus on quality as it involves the thorough review of information and documentation for KYCs and quality assurance of reviews performed by the business
Direct substantive communication requirements to the businesses with respect to KYC including reports and the tracking of account opening data
Provide oversight and guidance to business for training requirements necessary to meet regulatory requirements
Determine if business has properly presented KYC information and documentation which is requires understanding of our KYC/AML policies as well as transaction monitoring. Escalate issues to management as needed
All applicable KYC/AML policies, including any other FTI policies must be read and understood
Coordination of asset transfer phase and other client setup tasks Internal teams and outside parties
Verification & communication of account funding status and other client setup milestones to the market teams
Maintenance of client onboarding checklists and procedures
Completion and coordination of account closing tasks with internal and external parties
Keep abreast of regulatory changes that impact the account opening process by partnering with Legal & Compliance
Responsible for data integrity of client account information during the onboarding process
Participation on other projects as assigned by Supervisor or Manager based on team capacity
