Position Summary: The Event Assistant provides administrative and operational support for the planning, coordination, and execution of company events. This role is ideal for someone seeking hands-on experience in event planning, hospitality, marketing, or business operations. The Event Assistant will work closely with the event team to ensure events are organized, efficient, and successful while gaining valuable professional experience.
Key Roles / Responsibilities:
- Assist with the planning, coordination, and execution of company events, meetings, conferences, and special projects.
- Support event logistics, including venue preparation, vendor communication, guest registration, and event setup/breakdown.
- Help maintain event calendars, schedules, and planning documents.
- Coordinate event materials, supplies, and promotional items.
- Assist with attendee communications, invitations, and follow-up correspondence.
- Track RSVPs and maintain accurate guest lists.
- Provide on-site support during events, ensuring guests receive excellent service and assistance.
- Help gather feedback and prepare post-event reports.
- Perform general administrative tasks, including data entry, filing, and document organization.
- Collaborate with various departments to support event-related initiatives.
- Maintain a professional and positive representation of the company at all times.
Required Education, Experience, and Qualifications:
- High school diploma or equivalent required; currently pursuing or recently completed a degree in Event Management, Hospitality, Marketing, Communications, Business Administration, or a related field preferred.
- Previous volunteer, school, or work experience in event planning or customer service is a plus.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Ability to work both independently and as part of a team.
- Positive attitude, professionalism, and willingness to learn.
Working Conditions:
- Bending, lifting, climbing, pushing, pulling, kneeling, sitting stand, walk, kneel, stoop, squat, pull, push, climb, crouch, crawl, talk, hear, and see and standing (occasionally) for long periods of time.
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift 15 pounds at times.
- Positions self to install equipment, including under desks.
- Moves throughout the building to access files.
- Must be able to comprehend and follow written and oral instructions.
- Must be able to complete tasks even with frequent interruptions.
- Must be able to use discretion and independent judgment as needed.
- Must be able to speak clearly on the phone and to fellow workers.
