POSITION SUMMARY:
The Onboarding Specialist’s primary objective is to organize, streamline and oversee the onboarding process for new hires, from the time the offer is made to their first day. The Onboarding Specialist will partner with recruitment, hiring managers, IT and the overall HR team to ensure background checks are completed satisfactorily, start dates are communicated, the technology and access management teams are provided the information needed to create Active Directory accounts and request client access, equipment is received and new hires are on-boarded to the company seamlessly.
PRIMARY JOB RESPONSIBILITIES:
- Communicate with prospective new hires and explain the on-boarding process, what they can expect and keep them engaged during the process.
- Initiate the background screening for new hires, monitoring until completed and properly flagging any concerns to the HR team.
- Manage internal communications with Wheelhouse IT to:
- Ensure Active Directory accounts are being created in a timely manner.
- Initiate equipment delivery prior to the new hires scheduled start date.
- Request equipment be scheduled for delivery as soon as the background check clears for Medical Director new hires to participate in the pre-training program.
- Oversee the return of equipment when an employee separates from the company.
- Provide Accuity Access Management team the required information to start client access requests.
- Administer and submit all hiring paperwork for new employees, ensuring appropriate paperwork is being added to their HCMS profile after hire.
- Initiate and oversee completion of new hire paperwork and I9 verification.
- Verify credentials are provided for applicable positions and that they are acceptable for the position and currently active.
- Work with the Talent Acquisition and HR teams to ensure new hire reports are maintained and shared with the appropriate leaders, etc. with the agreed frequency.
- Maintain recruiting database, tracking recruitment activities from time of offer to start date as needed.
- Performs miscellaneous job-related duties as assigned.
POSITION QUALIFICATIONS:
Education:
- High School Diploma required; Bachelor’s Degree preferred
Experience:
- Minimum of 2-year experience in Human Resource and/or Recruiting support position, ideally in Health Information Management and/or Clinical Documentation Improvement
Knowledge, Skills, and Abilities:
- Must have strong time-management skills and focus
- Must have excellent written and verbal communication skills
- Ability to use a PC in a Windows environment, including MS Excel, Word, PowerPoint, Outlook, Teams and OneDrive
- Ability to work with sensitive and confidential information
- Must be outgoing and self-motivated with a strong desire to excel
- Independent, focused individual able to work remotely
