- Provide comprehensive administrative support to the CEO, CFO, and Chief Medical Officer, including prioritization of daily activities and strategic alignment of schedules.
- Manage complex and frequently changing calendars across multiple time zones.
- Coordinate internal and external meetings, board engagements, investor meetings, regulatory discussions, clinical advisory sessions, and leadership meetings.
- Anticipate scheduling conflicts and proactively resolve issues to optimize executive time and productivity.
- Plan and coordinate executive meetings, including in-person, hybrid, and virtual sessions (Zoom, Teams, webinars, etc.)
- Serve as a liaison between executives and internal/external stakeholders, including board members, investors, healthcare professionals, regulatory bodies, and cross-functional teams
- Arrange complex domestic and international travel for executives, including detailed itineraries, flights, accommodations, transportation, and related logistics.
- Coordinate travel related to board meetings, investor events, medical congresses, clinical site visits, conferences, and leadership offsites
- Manage last-minute travel changes with efficiency and discretion
- Prepare and process expense reports and ensure compliance with company policies
- Track and manage invoices, vendor communications, and other administrative documentation as needed
- Support coordination of company-wide meetings, town halls, medical education programs, and leadership offsites
- Assist with special projects and strategic initiatives assigned by the executive team
- Maintain strict confidentiality in handling sensitive corporate, financial, clinical, and personnel matters
- Office Location - Newport Beach – (Headquarters (HQ) roles are typically hybrid: remote on Mondays and Fridays, in-office Tuesday through Thursday. This position may require additional in-office days)

- Bachelor’s degree required
- 7+ years of experience supporting C-level executives, preferably supporting multiple executives simultaneously
- Proven experience coordinating complex domestic and international executive travel
- Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with Apple products and collaboration tools (Teams, Zoom)
- Exceptional organizational and time management skills with the ability to manage competing priorities
- High level of professionalism, executive presence, and discretion.
