About the role

OVERVIEW
The Senior Content & Publishing Associate provides essential editorial, administrative, and analytical support to the Medical Journals team, contributing to the growth of the journals portfolio and supporting new business opportunities.

*NOTE: this is an administrative role on the team, there is no editing or writing associated with this role. It is ideal for someone looking to start their career in publishing.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Provide editorial and administrative support to Director, Associate Director and Publishing Team.  Be the ‘go-to’ person for the medical journals department and assist in the daily management of the journals’ list and editorial offices.
  • Be trained and become proficient in the administrative tool for the journals’ website platforms and be responsible for basic maintenance and for making necessary changes on journal sites. Pull, compile, and format related usage statistics for journal website platforms and Ovid platforms.
  • Update and maintain social media feeds (X, Facebook etc.) for journals as directed by medical journals team. Pull, compile, and format related usage statistics for social media programs.
  • Interact directly with customers/clients and specialty KOL’s (namely editorial offices, societies, and authors,  to carry out various requests and to provide data and customer service needed to support day-to-day operations or special projects.
  • Assist in researching and developing new product ideas and projects, actively sharing insights and participating in team discussions.
  • Code invoices, prepare check requests and seek payment approvals, send promotional copies to editors and societies, order letterhead/cards/supplies as needed for medical journals team and editorial offices.
  • Be point of contact for medical journals team in trafficking editor, society and vendor payments with Accounts Payable (AP).
  • Support copyediting, basic graphic design, and formatting in Microsoft Word to enhance customer-facing reports, proposals and presentations.
  • Manage deadlines and expectations to obtain and compile data from various departments, using analytics tools.
  • Coordinate travel logistics including meeting invitation deployment and tracking, room booking, billing, and catering for offsite editorial board and strategic meetings.
  • Coordinate and support internal and external meetings including scheduling, a/v, catering, and other logistics as needed
  • Compile and distribute meeting notes for regular staff meetings, editorial board meetings and other meetings as assigned.
  • Respond to communication (e-mail and phone) from outside editors, advertisers and others and direct calls to appropriate departments.
  • Be responsible for the upkeep and maintenance of centralized database of editor and society contact information, journal contracts and specifications, etc. Be proficient in creating reports from the database.
  • Create and maintain schedules for yearly, monthly or quarterly activities and prompt action on those activities (i.e. editorial board meetings and publisher’s reports, annual conferences, research projects, gifts, etc.)
  • Periodically check all online journal references on the LWW online store, eJP, Ovid, third party, and other WK sites and address any problems or alert the publishers and marketers as necessary.

QUALIFICATIONS

Education:  Bachelor’s degree preferred, or equivalent relevant experience

Required Experience:

  • 1 year or more of prior experience as an administrative, editorial, or marketing assistant or coordinator, or related experience, with interest in the publishing space
  • Advanced proficiency in Excel, PowerPoint, and Microsoft Word with experience in creating professional presentations.
  • Strong attention to detail, communication, and organizational skills

Preferred Knowledge, Skills, Abilities or Certifications:

  • Intermediary knowledge of academic journals, including familiarity with editorial processes a plus.
  • Good organization and communication skills, business writing abilities, and problem-solving capabilities.
  • Experience in updating and managing websites and/or HTML coding.
  • Previous experience with Microsoft Teams (or a similar program such as GoToMeeting) a plus.
  • Experience in communicating with customers, addressing inquiries, and providing support.
  • Ability to handle multiple tasks simultaneously, set priorities, and meet deadlines
  • Ability to work independently and as a team member
  • Strong attention to detail and ability to be thorough in completing tasks
