General Purpose of Job
Assist the Licensing and Fingerprint staff with correspondence, appointments, including internal and external schedules, and the daily administrative duties of the Licensing Department. Support the Foster Care Recruitment and Retention and Fingerprint Programs by completing administrative functions and maintaining systems for tracking and reporting.

Essential Duties and Responsibilities
Monitor and track recruitment phone line and respond to inquiries. Follow-up with licensing agencies as needed.
General administrative duties include filing, scanning, copying, and mailing for the foster care program.
Maintain computer tracking systems, including excel databases as they pertain to licensing unit.
Complete purchase orders and check requests.
Check in all initial, relicensing, and relocation packets from the licensing agencies.
Request and copy archived files from DCF for homes reopening.
Prepare packets of information for licensing trainings and meetings.
Type agendas and take minutes at meetings.
Other duties may be assigned as special projects may be requested
Working HOurs
CNSWFL’s work week is Monday through Friday, 40 hours per week. Your supervisor will advise you of your work hours; however, business office hours are 8:00 am to 5:00 pm.
Travel
Travel in and outside of Circuit 20 (Lee, Charlotte, Collier, and Hendry/Glades counties) is required.
Training
All employees must complete fifteen (15) hours of on-line or classroom Training on an annual basis. If the employee is a Certified Child Welfare Professional, Training hours must total twenty (20) annually.

This position does not have supervisory responsibilities
Education and Experience
High school diploma or general education degree (GED) required, A.A. degree preferred; a minimum of three (3) years of previous administrative/secretarial experience and/or training, or equivalent combination of education and experience.
Skills and Abilities
Must be able to operate standard modern office machinery, including fax, telephone, calculator, computer, scanner, printer, copier, and mail machine. Minimum typing speed of 50 wpm; excellent word processing skills. Must be competent with Microsoft Office Suite programs, including Word, Excel, Power Point, Access, Publisher, and Outlook. Must be competent with basic e-mail protocol and procedures including sending, receiving, replying, attachments, and meeting scheduling; excellent written and oral communication skills; effective listening skills; ability to work as a team member, and the ability to work in a multi-cultural environment. Must possess excellent organizational skills and abide by the highest standards of confidentiality.
