Job Description

OBJECTIVES: • Responsible for retrieval of records from outside vendors and transfer to long term storage while maintain appropriate chain of custody and maintaining inventory of archived documents. • Support retrieval of archived records to support Research business function needs or regulatory requests for information. • Interface with Records Information Management and R&D Quality to ensure department archiving processes and document are fit for purpose and compliant with RIM and QA Records management policies. • Interface with key points of contacts across the Research organization and have visibility into archived materials’ location, inventory records and vendors used. • Act as key point of contact between Research functions, R&D Quality and Records Information Management on archiving processes and procedures.

ACCOUNTABILITIES: • Act as the subject matter expert on archiving and records management and alignment across Research functions through support for department through archiving, retention, and controlled (scheduled) disposal of records. • Coordinate retrieval of records from outside vendors and transfer to long term storage while maintain appropriate chain of custody and maintaining inventory of archived documents, when requested. • Support retrieval of archived records to support research needs or regulatory requests for information. • Support training to Research users as necessary to support the archiving/documents retention policies and processes. • Interface as necessary with vendors, contractors, suppliers, and other service providers to facilitate archiving and retention processes. • Manage Statements of Work, Master Service Agreements, and Confidentiality Agreements. Coordinate with Business Operations and Legal teams to set up new agreements and monitor existing agreements for expirations/process renewals. • Support the processing of information assets involved with mergers, acquisitions, divestitures, and reorganizations as needed by applying classification and taxonomy schemes so that information assets are handled using established controls and processes. • Engage in other archival / document management support activities when needed.

DIMENSIONS AND ASPECTS: • Demonstrated knowledge of technologies, systems, and processes related to records management/archiving is preferred. Experience in business operations or project management is acceptable. • Ability to analyze problems and implement effective solutions. • Demonstrated ability to use computer software programs (e.g., e?mail, word processing, spreadsheet, and project management) preferred. • Ability to exercise sound judgment, flexibility, initiative, and commitment in an environment of rapid change. • Ability to work in a diverse work environment. • Demonstrated effective interpersonal, verbal, and written communication skills. Ability to effectively communicate with internal and external stakeholders of the process. • Collaborative nature and team mentality with ability to execute as an individual. • Must be able to handle confidential information and issues effectively, with sensitivity, and without breach of confidentiality. • Authorization to work in the United States indefinitely without restriction or sponsorship
