Position Summary

The College of Nursing at MSU is seeking applications for a Secretary III position. The Undergraduate Program Secretary in the College of Nursing provides secretarial support in the Office of Academic Affairs for the Undergraduate Program, its leadership team, and faculty with undergraduate teaching responsibilities. The primary area of support includes providing secretarial support for the Assistant Dean and Undergraduate Program Coordinator in the Office of Academic Affairs. The work also involves supporting the faculty associated with the undergraduate program including drafting syllabi, ordering textbooks and office supplies, scheduling rooms, processing reimbursements and disbursements, scheduling meetings, supporting processes associated with committee meetings, assisting in travel arrangements, establishing and maintaining files, calendars, room schedules, and exam databases; answering telephones, sorting mail, interacting with faculty, staff, students, and the public, posting web documents, and providing backup coverage for co-workers. In addition, the Undergraduate Program Secretary may have supervisory oversight over students employed in the College of Nursing.

Position has the potential for remote work ability for up to 2 days per week.

Unit Specific Education/Experience/Skills

Knowledge normally acquired through a high school education; three to five years of related and progressively more responsible or expansive work experience in maintaining accounting ledgers and/or experience in word processing, spreadsheet, database, and/or desktop publishing software. The job may require knowledge of presentation and web page software and technical or medical terminology and/or technical training related to the field of employment; or an equivalent combination of education and experience.

Desired Qualifications

Bachelors degree; knowledge of university policies and procedures; familiarity with Microsoft Suite including Outlook and Teams as well as Adobe Acrobat relational databases; experience with project management software and approaches; familiarity with EBS financial transaction processing; experience with video conferencing software such as Zoom; Endnote experience; excellent written and verbal communication skills; proofreading experience including correct usage of grammar, writing and editing skills; ability to multi-task; detailed oriented; excellent customer service skills; file development and maintenance; ability to work independently with little oversight; previous experience with event planning and calendaring.
