The Facilities Administrator is responsible for overseeing and managing the administrative systems, tasks, and projects within the facilities department. This role involves evaluating administrative needs, implementing efficient processes, and ensuring the smooth operation of facility-related activities. In addition, the incumbent will be expected to help improve existing systems and processes as well as develop new ones with the objective of creating efficiency, consistency, proper record keeping. The Facilities Administrator will work closely with the facility managers as well as other resort departments to conduct training, prioritize maintenance requests, assist in departmental recruiting, and ensure excellent communication between facilities and hotel operations. Additionally, this role involves developing preventative maintenance programs, creating policies and procedures, managing inventory, record keeping, overseeing regulatory compliance, and being involved in the continuous guest survey improvement process. The Facilities Administrator will also participate in safety committee, manage procurement processes, monitor energy, and water usage, and assist in capital improvement projects. This position requires the ability to communicate clearly and effectively, strong organizational skills, attention to detail, and the ability to work collaboratively with different stakeholders.
ESSENTIAL JOB FUNCTIONS / RESPONSIBILITIES:
- Evaluate administrative needs in the facilities department and assume responsibility for relevant administrative tasks and projects as needed.
- Manage the Net Facilities work order system, including setup, configuration, and implementation.
- Conduct training on the work order system with other resort departments (F&B, SPA, Guest Services, Housekeeping, Security, etc.).
- Ensure the fastest possible response to maintenance requests from guests, employees, and hotel management.
- Improve upon and maintain a comprehensive preventative maintenance program for rooms, public areas, and critical resort infrastructure.
- Generate facilities standard operating procedures (SOPs) and policies, including O&M manuals for critical infrastructure systems and labeling of mechanical/equipment rooms.
- Create and maintain a comprehensive inventory of spare parts and equipment, ensuring appropriate par levels are maintained.
- Participate in Safety and Emergency Response committee.
- Identify opportunities to create consistency in facility operations.
- Generate a schedule of regulatory inspections and ensure adequate preparations are made for successful outcomes.
- Responsible for departmental health and safety, training programs, and statutory compliance.
- Manage procurement of commonly purchased parts by facilities departments, equipment, and materials, leveraging purchasing power for favorable pricing.
- Create and maintain a filing system for facilities-related vendors, ensuring contracts, certificates of insurance, and W9s are always up to date.
- Foster excellent vendor and contractor relations.
- Forecast and manage hotel energy and water usage, monitoring associated costs.
- Manage wastewater/NMED record keeping and submittal.
- Participate in the annual audit process with the insurance carrier and ensure completion of all recommended actions.
- Assist the Managing Partner in planning, estimating, scheduling, and project management of Capital Improvement Projects.
- Oversee the management of special projects.
- Actively participate in guest survey meetings to take on a lead role in the continuous improvement process.

Requirements
- Bachelor's degree in facilities management, engineering, or a related field (or equivalent experience).
- Valid driver’s license required.
- Proven experience in facilities management or a similar role.
