Job Summary
Performs a variety of administrative support work for the Human Resources department Center Administration Staff including but not limited to maintaining the filing system of human resources documents; assists with verification of employments; process and manage the Center’s Food Stamp Program; perform a variety of administrative and clerical support work including routine typing and photocopying of reoccurring correspondence, forms, lists, logs, records etc.; answers the telephone and provides general information regarding the department operations and/or services; assists with processing of incoming and outgoing mail.
Essential Functions:
Human Resources Administrative Responsibilities:50%
Inputs data and maintains the Human Resources Information System (HRIS) in order for system capabilities to be fully utilized while ensuring accuracy and completeness of employee records; produces various reports as requested/required.
Prepares, updates, and monitors personnel records; files documents alphabetically, numerically or by any other established filing system including manual or electronic files; maintains and utilizes a bring-up filing system; ensures the files are maintained in an organized and efficient manner.
Composes, prepares, types and processes human resources forms and documents and ensures the accuracy and completeness of the same; photocopies and files various correspondence.
Maintains the confidentiality of all personnel and payroll records, and the confidentiality of personnel-related correspondence, conversations, or issues.
Sets up human resources files for all new employees; ensures all new hire paperwork is complete, signed and filed according to established policies and procedures.
Maintains files with medical information which includes but not limited to: FMLA, Worker’s Compensation, ADA; or other medical information in a locked file cabinet and separate from all other personnel files.
Upload various documents to TSAMM and submits to ARC Command for approval, e.g., New Hires, Promotions, Position Changes, Rate Changes, Leave of Absence and Terminations in the TSAMM program.
Center Support Administrative Responsibilities: 50%
Performs routine typing of standard departmental documents, cards, and labels with little or no deviation from established methods and procedures; proof-reads documents for accuracy and completeness.
Prepares, maintains, and updates office records, documents, logs, lists, files, purchase orders, etc.; inputs and updates information in computer database; researches office files to locate specific information found in documents, correspondence, lists, forms, computer records, etc.
Answers telephone in a courteous and tactful manner; assists employees and callers with information.; provides accurate and complete information regarding the department's operations and/or services; attempts to resolve complaints in a calm, courteous, and tactful manner.
Assists in the receiving, sorting, and distribution of mail in an accurate and timely manner and in ensuring that all mail received is forwarded to the appropriate person and/or destination and collecting and preparing outgoing mail.
Other Responsibilities:
Assists in departmental bulk-mail activities; obtains and applies correct labels to items to be mailed.
Assists other department personnel in performing front desk, administrative and supportive activities.
May perform special projects as assigned.
Performs other related work as required.
Knowledge, Skills and Abilities
Knowledge of the Ceridian HCM or ability to learn. Knowledge, skills, and ability to successfully communicate, both verbally and in writing in the English language. Knowledge of Microsoft Office Suites. Ability to prepare and maintain personnel records in an accurate, complete, and timely manner. Ability to effectively and efficiently enter data into an electronic database system. Ability to work as a member of departmental team. Ability to follow both verbal and written instructions. Knowledge of general office practices and procedures. Ability to maintain the confidential nature of personnel related information. Ability to communicate effectively with all levels of staff.
Education and Experience
High School diploma or G.E.D. required or two-year vocational office courses preferred, And minimum of three years related work experience performing clerical work in an office environment, Or any equivalent combination of training and experience which provides the required knowledge, skills, and abilities
