About the role

Reporting to the VP, General Counsel & Secretary, TAI, the Administrative Assistant provides skilled administrative support to the legal department.
To be successful, we are looking for a confident and self-motivated administrative professional with excellent written and verbal communication skills. This person is organized, has strong attention to detail, and can multitask and adjust to changing priorities in a fast-paced environment in an independent manner. Strong interpersonal and follow-up skills along with experience maintaining strict confidentiality of sensitive information are vital for success. 
The wage scale for this job is $34,255 to $44,330 commensurate with experience and qualifications.
This Teck American Incorporated full-time, regular position provides the employee (and their eligible dependents) a comprehensive flexible benefits package that includes medical, dental, vision, and basic life insurance.  The employee is also covered by Long Term Disability insurance and is able to enroll in our company’s 401k plan.  In this position, the employee will accrue a minimum of 10 days of vacation leave and 12 paid sick days (1 per month) throughout the calendar year.  There are ten paid holidays per year.
Other Compensation includes, but is not limited to, annual bonus and profit-sharing.

Responsibilities:

  • Be a courageous safety leader, adhere to and sponsor safety and environmental rules and procedures
  • Manage and organize corporate and legal records, including maintaining the legal electronic and paper filing system, digitization of physical records, compiling board books and coordinating outgoing and incoming department mail
  • Support the General Counsel in the management of outside counsel, including coordinating invoice approvals and payments, data entry into legal matter management reporting systems, and compiling accurate and timely litigation reports
  • Draft and manage documents necessary to maintain US legal entities and support corporate governance function, including drafting and filing reports with Secretaries of State, maintaining records of license requirements for US legal entities and ensuring organizational charts are current and accurate
  • Support the contract lifecycle management, including coordinating requisite approvals and signatures for US transactions, data entry into contract management systems and leading communications to ensure transactions are closed in accordance with Teck governance and financial policy requirements
  • Support the legal department budgetary and reporting process
  • Assist with organizing US board of directors and legal department meetings, including arranging for special equipment and catering services
  • Support legal department team with arranging travel and completing monthly expense reports
  • Support the office management function, including coordinating office maintenance and working with third party vendors when necessary to coordinate services
  • Represent the executive office and legal department with professionalism, teamwork and integrity
  • Complete other administrative tasks including communications as may be requested by the Vice President and General Counsel

Qualifications:

  • Minimum of 3 years administrative assistant experience with corporate experience are preferred
  • Business degree, professional certification Legal Administrative Assistant Certificate an asset or relative experience is an asset
  • Advanced proficiency using current Microsoft Office (PowerPoint, Excel, Word and Outlook) and electronic dictation; speed (minimum 50 WPM) and accuracy in word processing are essential 
  • Organizational and planning skills with strong attention to detail
  • Ability to exercise tact and discretion and work well under pressure
  • Experience managing confidential material and information is critical 
  • Experience with records management, data entry and data management systems 
  • Team oriented and ability to support multiple clients with a variety of requirements (i.e. event planning, etc.)
