Job Summary:

The Program Manager, External Services will report to the Sr. Director, HealthIT, External Services and be responsible for projects and programs in support of Vanderbilt Health Professional Solutions (VHPS) strategic roadmaps. VHPS manages and grows current companies spun out of VUMC, as well as incubates, supports, and launches new commercial enterprises. The Program Manager will facilitate effective conversations among cross-functional teams of subject matter experts. This position's primary focus is program management, rather than the application of expertise in a specialized functional field of knowledge although there may be technical team members. In addition to HealthIT, other key groups the Program Manager would typically collaborate with are VHPS, Vanderbilt Cybersecurity (VEC), Office of Legal Affairs (OLA), and Sourcing.

Job Duties:

  • Active collaborator with stakeholders who are responsible for business projects and programs involving department or cross-functional teams of subject matter experts.

  • Facilitates processes to engage key stakeholders (internal and/or vendors) in design and decision-making to ensure alignment with enterprise goals/objectives while also meeting business specific needs

  • Plans and directs schedules as well as project budgets.  Develops and maintains critical program and change deliverables (RACIs, WBS, Project Plans, Design Documents, Requirements, Decision Log, etc.)

  • Provides regular status-updates to Executives (facilitates meaningful dialogue and decision-making)

  • Provides regular detailed project plan status updates to report progress, risks, dependencies, schedules, etc.

  • Will engage and manage the work from inception through delivery, as well as ongoing post-go live oversight.

  • This position's primary focus is program/ project management, rather than the application of expertise in a specialized functional field of knowledge although there may be technical team members.

  • Focuses on process improvement, organizational change management, program management and other processes relative to the business.

  • Leads and manages team in planning and executing business programs.

  • Communicates and collaborates with internal customers to analyze and transform needs and goals into functional requirements. Delivers the appropriate artifacts as needed.

  • Creates business requirements documents, test plans, end user training materials and other related documentation.

  • Proactively anticipates and addresses roadblocks; active driver of forward progress; acts with urgency to drive and maintain momentum on business projects

  • Generates and distributes standard reports on schedule.

TECHNICAL CAPABILITIES
• Project Communications (Expert): Is a recognized expert and authority in project communications. Established ability to relate highly complex ideas and concepts in simple, straightforward fashion. Is an expert in articulating sensitive and mission-critical information to project team members, employees, clients, and vendors. Takes a lead role in developing project communications best practices for the organization.
• Project Issues Management (Expert): Is a recognized expert and authority in Issues Management. Occupies the position which is the last internal resource for support or direction. Expected, as a result of the position, to have the ultimate knowledge, control, influence, and/or jurisdiction in Issues Management. Takes a lead role in developing best practices for Issues Management for the organization.
