The Recruiting Coordinator plays an essential role in supporting the Talent Acquisition team and delivering a positive candidate experience. This position assists with daily recruiting operations, helps manage onboarding tasks, and ensures all required documentation and pre-employment steps are completed accurately and on time. This role requires strong organization, attention to detail, and the ability to manage multiple tasks while providing professional and courteous service to applicants, hiring managers, and internal HR partners. The Recruiting Coordinator works closely with recruiters, HR teams, and leadership to support hiring efforts and ensure new hires are fully prepared for their first day.
- Serve as the first point of contact for applicants by greeting visitors, answering phone calls, and providing general recruiting information.
- Provide administrative and operational support throughout the full-cycle recruitment process.
- Assist candidates and employees with completing applications, onboarding documentation, and required forms.
- Monitor the status of background checks, drug screenings, I-9 completion, and other pre-employment requirements.
- Track and assist with licensing processes required for new hires.
- Prepare and communicate new hire orientation (NEO) details once candidates are cleared to begin employment.
- Maintain accurate and confidential records within the applicant tracking system (ATS) and HR information systems (HRIS).
- Update and maintain tracking sheets, reports, and dashboards related to onboarding and hiring activity.
- Coordinate with recruiters, hiring managers, and HR teams to ensure a smooth onboarding process and timely start dates.
- Issue employee badges and assist with replacement badges when needed.
- Maintain office organization and supply inventory, including supplies for recruiting events.
- Provide exceptional customer service to candidates, employees, and internal partners throughout the hiring process.
- High School Diploma required.
- 1–2 years of experience in human resources, recruitment, administrative support, or a related field, or an equivalent combination of education and experience.
- Experience working with applicant tracking systems (ATS), HRIS platforms, or onboarding systems preferred.
- Familiarity with casino, hospitality, or licensing environments is a plus.
- Proficiency with Microsoft Office applications.
- Strong organizational skills and exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple tasks, follow structured processes, and meet deadlines.
- Strong customer service mindset when working with candidates and internal stakeholders.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Ability to work independently and exercise sound judgment when escalating issues.
