About the role

Job Summary

The Manager Facilities oversees all operations related to the maintenance, repair, and upkeep of the agency’s facilities, equipment, machinery, and maintenance operations. This position is responsible for providing a safe, secure, and clean environment for employees and clients.  The Facility Manager will interact with all levels of internal staff and external partners and must be flexible to respond to various agency needs in an organized and timely manner. 

This position is Monday - Friday, 8:00am-5:00pm and will require the hire to be available for a rotating On-Call schedule, as well as to be flexible for emergency scheduling (including nights, weekends and holidays) as we do operate 24/7 residential sites.  
Position will also require traveling to multiple sites and properties throughout the Greater Rochester Area, though travel to any of Hillside's properties is possible. 

Essential Job Functions

  • Assign, prioritize, and respond to requests placed through Hillside’s internal service request system in a timely manner, including after-hour emergencies.
  • Utilize critical management processes for effective decision-making during a crisis or unplanned event.
  • Assure compliance with building codes, safety, and environmental health requirements. 
  • Partner with applicable Hillside departments to resolve safety and environmental health issues.
  • Complete all fire, life, and safety inspections and schedule agency fire drills, as required.
  • Complete physical plant walk-through with funder’s and manages Hillside’s internal process
  • Facilitate inclusive and motivating team and individual meetings while demonstrating care and encouraging commitment to excellence.
  • Communicate and execute Property Services Department guidelines, processes, and procedures. 
  • Remain informed on the current status of all agency buildings and aware of their short and long-term needs.
  • Collaborate with various functions of Human Resources, to ensure the recruitment and onboarding of new hires, compliance with policies, alignment with performance and behavioral expectations, and the development of staff.

Shares accountability when delegating and involves staff in setting their performance goals.
  • Governance: Ensures Hillside policies, procedures and all applicable governmental laws/regulations/guidelines are followed. Makes decisions and has authority to implement decisions in conjunction with the leadership structure of the given area of responsibility. 

Education & Experience

  • High School Diploma or GED required.
  • Minimum 3 years of experience in facilities or related field.
  • Minimum 3 years of supervisory experience required.

Special Requirements

  • Unrestricted, valid NYS driver’s license with a clean driving record and minimum insurance coverage that meets agency standards.

  • Knowledge of HVAC, plumbing, electrical, and fire safety systems.
  • Understanding of local, state, and federal regulations regarding safety, accessibility, and environmental standards.
  • Knowledge of OSHA, environmental health and safety (EHS) guidelines, and workplace safety protocols.
  • Ability to lead, motivate, and manage a team of maintenance workers, vendors, and contractors.
  • Ability to make sound decisions quickly, particularly under pressure or during emergencies.
