About the role

The Curriculum & Instruction (C&I) Department works to ensure outstanding instruction in every classroom. Sustainable implementation of high-quality curriculum is the most important driver of that aim and supports the growth of teachers, administrators, counselors, and librarians at various stages throughout their careers. We aspire to ground our C&I work in a set of shared elements. We start with an understanding of how students learn; we organize around adult learning principles to support teachers and school leaders; we embed opportunities to modify curriculum materials for specific classroom contexts or student needs; and we organize everything around continuous improvement, to get better over time. 

Under the guidance and supervision of the Director of Curriculum and Instruction, the Program Associate will provide organizational, administrative and logistical support for the vice president, directors and teams within the C&I department including internal and external meetings, professional learning workshops, and other departmental events.  In addition, the Program Associate will be responsible for managing departmental resources (including supplies and electronic resources) and reporting requirements. 

Core Duties and Responsibilities

Curriculum and Instruction Department Support

  • Maintain the department calendar for meetings, events, and school-based work
  • Provide general administrative support to department leaders, including:
    • scheduling meetings, appointments and conference calls
    • managing logistics for department meetings and events
    • maintaining inventory of program supplies and materials 
  • Liaise with the internal New Visions teams for operational efficiency, particularly to coordinate use of shared spaces and resolve problems that arise
  • Support unit budget management, including processing invoices, tracking expenses, and preparing reports
  • Maintain partner and event databases
  • Undertake special projects as assigned

Event Management and Support

  • Provide logistical planning and support for unit meetings, training workshops, and internal/external events
  • Manage event logistics, including venue/catering selection, attendee registration, materials preparation and delivery, space setup/breakdown, and on-site support
  • Maintain event documentation, including registration, attendance, and CTLE recordkeeping
  • Serve as the primary liaison with the New Visions Tech and Admin Teams for event support
  • Assist with budget tracking and invoice processing for events
  • Communicate event details with internal and external stakeholders
  • Maintain event calendars and timelines

Operations System Development

  • Develop and implement systems to manage and track departmental goals and project workflows
  • Prepare and maintain timelines and action items for major events and initiatives
  • Manage workshop attendance databases and provide reporting as required

 

Education and Experience

  • B.A. preferred; or an equivalent combination of education and experience
  • 1+ years of experience providing administrative and program support within a comparable setting
  • Knowledge of youth development, school systems, or adult learning management preferred

Required Skill Sets and Knowledge Base

  • Proven organizational, time management, and project management skills, including the ability to set priorities and hold others accountable
  • Strong problem-solving skills, including the ability to seek clarification or escalate requests as needed
  • Excellent interpersonal and teaming skills with the ability to collaborate effectively across all levels
  • Demonstrated attention to detail in tracking, documenting, and reporting on collaborative work
  • Proven ability to be flexible and adaptable in fast-paced environments
  • Strong written and verbal communication, including presentation skills
  • Flexibility, initiative, and the ability to work independently with minimal supervision
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Willingness to travel and work evenings/weekends as necessary
  • Advanced proficiency in computer skills, including Google Workspace (Docs, Sheets, Slides), Asana, Monday, and internet research
