Job title: Executive Assistant

Location:  Palo Alto, CA (onsite/hybrid)

 

SUMMARY: 

The Executive Assistant plays a crucial role in supporting our President & CEO and executive team members in their day-to-day operations and strategic initiatives. The person in this role is able to work independently and be a proactive problem-solver with exceptional communication skills and attention to detail. They ensure goals and objectives are accomplished in a timely manner and with high quality work and that operations run efficiently by maintaining and refining internal processes that support the executive team, coordinating internal and external resources, managing projects and communications across varying internal and external constituents, and supporting Hyperfine facilities as needed. Given our dynamic nature, we rely on our executive assistants to be flexible and consistent while maintaining the confidentiality of high-level systems and operations. 

 

RESPONSIBILITIES: 

  • Provide administrative support and calendar management to the executive team (Chief Executive Officer, Chief Financial Officer, and Chief Operating Officer) 
  • Assist in the daily operations of the organization with the guidance of senior leadership and performing administrative tasks, including managing calendars, maintaining files, planning and coordinating Board of Directors and annual meetings 
  • Assist the executive team members to prioritizing schedules based on business strategies & priorities 
  • Coordinate domestic and international travel arrangements.
  • Support executive teams’ day-to-day business needs.
  • Assist with communication on behalf of the CEO.
  • Assist in the management of BOD communication and correspondences
  • Organize team and company-wide events including assisting with the planning, coordination and leading logistics and of meetings and workshops.
  • Assist in the preparation of corporate presentations.  
  • Oversee and serve as key relationship owner for the Palo Alto Office facility
  • Support other corporate initiatives & office needs as required
  • Maintain deadlines and project work, ensuring all tasks are completed
  • Exercise discretion when dealing with sensitive and confidential information  

 KNOWLEDGE AND SKILL: 

  • Excellent verbal and written communication skills 
  • Strong time-management skills and an ability to organize and coordinate multiple activities simultaneously
  • Proficiency with office productivity tools and an aptitude for learning new software and systems (e.g., Microsoft Office 365, Zoom, Slack, Asana)
  • Flexible team player, willing to adapt to changes and embrace challenges.
  • Ability to maintain confidentiality of information related to the company and its employees
  • Attention to detail
  • Strong interpersonal skills 

 EDUCATION/EXPERIENCE REQUIRED: 

  • Bachelor’s degree in related field and 8 years’ experience (or equivalent) 
  • Previous experience as an Executive Assistant or similar position 
  • Experience in overseeing budgets and expenses 
  • Experience in developing presentations 
  • Experience in developing internal processes and filing systems 

PREFERRED QUALIFIICATIONS: 

  • Previous experience as an Executive Assistant or similar position in Medical device, life sciences, pharmaceutical, and/or health care industry
