Position purpose:

Reporting to the Associate-Supervisor, HR Administrative Services, supports the Central human resources team in providing services to all sectors under the responsibility of the Office of the Vice President, Finance and Administration, namely: Housing, Financial Resources, Human Resources, Pension Fund and Investment Management, Information Technology and Office of the Chief Risk Officer, which includes Protection Services.

Performs activities related to human resources administration and provides advice to clients to help them achieve the goals of their sector. Processes all requests related to the employment cycle. Coordinates and applies the terms of various collective agreements to ensure the accuracy of data in systems related to employee pay, leave and time management, in compliance with current policies and processes.

In this role, your responsibilities will include:

  • Prepares payroll requests and the documentation required to produce contracts. Checks employee payroll data to ensure that employee compensation is in line with their hiring contracts and with the terms of collective agreements to minimize the possibility of negative effects on the affected employee (e.g., an interruption in compensation).. Checks the accuracy of payroll information and reports, and liaises with central Payroll to reconcile any inconsistencies.
  • Responds to any questions about pay, leave, entering overtime hours, bonuses, and any other related requests received through any communication channels. Evaluates reported problems and exercises discretion and good judgment in determining the right course of action to quickly solve the problem. Follows up on outstanding issues to ensure that corrective action is taken and that the supervisor is informed of problems.
  • Provides details about total compensation (salary, annual leave, sick leave, benefits, etc.) to employees and managers to ensure that policies and collective agreements are properly applied. Communicates proactively with supervisors who encounter difficulties to avoid errors that could have an impact on pay.
  • Keeps all employee files updated. Identifies data anomalies  (i.e., in contracts, duplication, dates of service, direct reports, compensation) to keep the various HR databases and information systems updated. Checks the information produced or submitted by services and the Talent Acquisition Team, and follows up as required to maintain the quality of the information received.
  • Uses systems, reports and various interfaces to analyze and process personal and confidential information about University employees. In cases where a problem could have an immediate impact, takes appropriate measures to resolve the problem or transfer the matter to a superior, as required. Informs the supervisor of any delays, missed deadlines or situations that require management intervention.

What you will bring:
