JOB SUMMARY
Provide administrative and legal executive administrative support to the Legal and Risk Management Department (“Department”) of Hamilton Health Care System, Inc. (“HHCS”). In this role, the position acts as the legal executive assistant for the Department and supports the in-house attorneys and paralegals of HHCS, as well as the Corporate Compliance Officer and other members of the Department. The position may also provide back-up support to the Executive Assistant of the Executive Vice President, Chief Legal Officer, upon request, and serves as the receptionist and office administrator for the Department. This position has the authority to require follow-up actions from associates who have information necessary for the System to obtain or maintain comprehensive insurance. The position also maintains internal insured driver, vehicle, and property schedules across the System and coordinates with Financial Services to ensure that all information needed for annual insurance renewals is provided to applicable insurers and brokers. The position may assist in a wide variety of situations and conflicts involving the administrative function of the Department and the organization. Responsible for highly confidential and time-sensitive material. A wide degree of judgment, self-motivation, professionalism, and confidentiality is expected.
Qualifications
JOB QUALIFICATIONS
Education: Associate Degree required or equivalent experience as listed in Experience section below. Four-year undergraduate college degree preferred.
Licensure: None required, but see Experience and Skills sections below.
Experience: Minimum of four years’ work experience in the administrative assistant field or in a related area required with litigation, law firm, health care, or business experience strongly preferred. Legal secretary experience strongly preferred.
Skills: Excellent interpersonal skills required, including a high-quality and professional telephone and email manner. Excellent organizational skills required as this role must be able to handle a high degree of detail and manage multiple ongoing responsibilities simultaneously. High emphasis placed on confidentiality and discretion. High proficiency with Microsoft Office software (Word, Excel, PowerPoint, etc.) and Microsoft Outlook calendar management required. High proficiency in typing required, with high proficiency in transcription strongly preferred. Understanding of complex legal terminology strongly preferred. Ability to work with all levels of staff, using tact and diplomacy and a positive attitude to facilitate successful partnerships. Mature individual with the ability to work independently with some supervision and guidance.
PHYSICAL, MENTAL, ENVIRONMENTAL AND WORKING CONDITIONS
Works in a typical office environment, subject to frequent interruptions and heavy work volume with certain deadline requirements. Moves throughout the System and facilities subject to the hazards of that environment. Requires flexible schedule to meet deadlines. High tolerance for stress and ability to deal with numerous task requests simultaneously.
Physical and Mental Effort: Requires standing, walking, and extensive sitting, with moderate amounts of physical activity, including stooping and lifting. Requires hearing and vision corrected to normal range. Requires working under sometimes stressful conditions and subject to working irregular hours including overtime and weekends.
