Our Organization and Mission: The Office represents the State of Florida in state and federal civil and criminal courts, from trial courts to the Supreme Court of the United States. 

 

Position Summary: This position provides administrative support for the Grants Unit of the Bureau. It requires an individual who is able to work independently and possesses strong oral and writing skills with knowledge of correct spelling, punctuation and grammar usage; strong interpersonal, organizational, time management and prioritization skills; intermediate level reporting writing skills; intermediate to advanced knowledge of and ability to use Lotus Notes and Microsoft Office, particularly Excel and Word; ability to proofread consistently and accurately; ability to take detailed meeting notes; ability to multi-task effectively; ability to use discretion and good judgment when dealing with sensitive issues and handling inquiries; ability to establish and maintain effective working relationships and work well in a team atmosphere; ability to follow instructions and understand office processes; ability to compile statistics/data and generate reports, and process state travel reimbursements.

 

Pay: $37,852 - $43,260 Annually

 

Qualifications: 

  • Five years of secretarial or administrative work experience ; or
  • A high school diploma or its equivalent and three years of secretarial or administrative work experience; or
  • A bachelor's degree and one year of the secretarial or administrative work experience; or
  • If no bachelor’s degree: College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for up to two years of the required work experience; or
  • Vocational/technical training in an area of secretarial science or office/business studies can substitute at the rate of 720 classroom hours for up to two years of the required work experience.

 

The Work You Will Do: The responsibilities of this position include, but are not limited to the following: 

  • Receive, generate, and process documents in accordance with established procedures. This may include processing incoming and outgoing mail; perform data entry; set up project files; compose, type, proofread and/or print labels, reports, letters, envelopes; handle mass mailouts, etc. 
  • Maintain office files and coordinate inventory, storage and archival of records and reference materials.
  • Perform records management duties, including preparation of files/documents for archival storage, retention, and retrieval in accordance with agency policies and procedures.
  • Independently handle large volumes of data entry.  
  • Review and prepare travel requests and reimbursements.
  • Complete special assignments and perform related duties as assigned

 

NOTE: This position may involve extended work hours and travel away from the worksite.
