Job Description
The Accounts Receivable Accountant is responsible for taking ownership of the invoicing process and providing expertise in creating invoices and tracking payments related to government grants and other association contracts. We are seeking an experienced, proactive, and talented individual who can utilize their strong analytical and budgeting skills to make a quick and positive impact in our organization. This position reports to the Financial Controller and collaborates directly with staff at all levels of the organization, as well as with external customers or agencies.
Essential Duties and Responsibilities
- Code and record accounts receivable transactions and payment receipts accurately.
- Ensure timely and accurate processing of monthly invoices, including special cases.
- Conduct comprehensive reconciliation of all revenue and accounts receivable and promptly address any discrepancies found in the transactions.
- Monitor the accounts receivable month-end and year-end process to ensure proper processing of revenues and deposits within the correct accounting period, adhering to revenue recognition principles and meeting the organization's year-end closing deadline.
- Perform complex accounting and revenue analyses to assist management in effectively analyzing budgeting and tracking costs within established guidelines.
- Develop and maintain internal control policies and procedures to guide revenue operations, including the creation of desk manuals following best practices.
- Manage the Sales Order module entered by the Fund Development team and convert the entries into sales invoices for the accounting process.
- Collaborate with program staff to review budget reports, verify accuracy, take corrective action if necessary; reconcile budget status reports, and prepare expenditure projections.
- Understand the fiscal requirements of assigned contracts, ensuring that functions are completed in accordance with applicable federal, state, and county guidelines, including eligible expenses for billing and appropriate documentation maintenance.
- Ensure accurate general ledger coding of expenditures related to assigned contracts for billing purposes.
- Act as a liaison between program and finance team staff to complete all non-financial contract reports, ensuring timely submission for assigned contracts.
- Effectively communicate with staff at varying levels, including grantors/funders.
- Assist with federal and state monitoring events and financial audits.
Qualifications
- Required: 2 years of experience in cost accounting and invoicing.
- AA in Accounting or BA/BS in Accounting/Finance preferred.
- Strong problem-solving, attention to detail, analytical, and organizational skills.
- Strong knowledge of finance principles and practices, billing processes, contract terms, and revenue recognition principles.
- Intermediate level proficiency in Excel.
- Demonstrated "Can-Do" attitude and a commitment to getting tasks completed effectively.
- Proficiency in accounting software, with preference given to those experienced in Sage Intacct.
- Excellent written and verbal communication skills.
- Ability to thrive in a fast-paced environment, managing multiple deadlines, and responding to time-sensitive requirements.
- Prior experience in nonprofit or government fiscal roles is preferred.
Additional Information
Salary & Benefits: $63,000 Full-time non-exempt. 40 hours/week. Work Location: This position can be fully remote or hybrid. This position requires access to reliable internet connection and the ability to work effectively in a remote setting.
