JOB SUMMARY

The Interdisciplinary Science and Engineering Complex (ISEC) the new science building EXP at Northeastern are seeking a Building Operations Assistant. This position will assist ISEC & EXP operations managers with the building operations and events within ISEC & EXP. The position will perform a variety of functions within ISEC & EXP (mailrooms, loading dock and lab support). This position plays an important role in the buildings operations to ensure efficient shipping and receiving of supplies and equipment to support researchers’ needs. The primary duties of this position include receiving, sorting, tracking, recording, and delivering daily incoming/outgoing packages and lab supplies.

The Building Operations Assistant provides logistical support for research laboratory operations. Work with mail services, university transportation, facilities, vendors, OARS, and researchers to coordinate, facilitate, and provide logistical support for shipping and receiving laboratory supplies for research and teaching labs in the Interdisciplinary Science and Engineering Complex and the new building. 

The Building Operations Assistant receives, sorts, records, and distributes incoming mail; picks up and drops off mail and packages at university mail services as needed; maintains a well-organized and tidy mailroom; manages shipping, receiving, and all other loading dock activities; troubleshoots shipping issues and customer complaints that arise and works to solve them. Maintains safety procedures and policies including wearing proper PPE as required. 

The Building Operations Assistant will assist with transporting and storing some packed, lab-generated medical waste in the buildings’ main appropriate storage spaces, and with coordination of building maintenance requests. This position will coordinate vendor deliveries and monitor the delivery schedule. 

The Building Operations Assistant will assist with in-house functions and events; assist with overseeing events set up and breakdown; work cohesively with administrative team members; and contribute to the overall success of ISEC & EXP operations by performing all other duties and responsibilities as assigned. 

MINIMUM QUALIFICATIONS

A high school diploma or equivalent with good verbal and written communication skills required. Associate Degree preferred.  Provide the minimum education, experience, and skills required to perform the job successfully. 

Applicants must have at least one year of full-time, or equivalent part-time, experience in storekeeping, loading dock attending, and/or mailroom—preferably in a school, college, stockroom, or warehouse setting. The major duties of which included receiving, shipping, and distributing supplies and equipment. 

  • Ability to read, write, and comprehend the English language, communicate effectively, and follow written and oral instructions
  • Skilled in working accurately with names, numbers, codes, and/or symbols; gathering information by examining records and documents; and maintaining accurate records
  • Basic computer skills including internet and Microsoft Office Suite programs (e.g., Outlook, Word, basic Excel)
  • Customer service focused
  • Team oriented, with capability to work independently and meet deadlines
  • Time management and multi-tasking skills a must
  • Organized, focused, and detail oriented with excellent follow-through abilities
  • Flexible, resourceful, enthusiastic, creative problem solver
  • Able to lift, carry, push, and pull objects up to 30 lbs
  • Previous mailroom or office facilities experience a plus
  • Ability to take direction and communicate effectively with others
  • The required safety training will be provided

KEY RESPONSIBILITIES & ACCOUNTABILITIES

1) Managing the mailrooms (ISEC & EXP): (40%)

  • Acts as the point of contact for all transportation package deliveries.
  • Acts as a liaison between mail services and researchers to assist them with outgoing shipments.
  • Receives, sorts and delivers the packages (chemicals and biological materials) to individual labs (~80 research groups in ISEC alone).
  • Distributes the faculty and staff mail into their assigned mail slots
  • Works with mail services and researchers to ensure delivery of all packages and lab supplies in timely manner.
  • Keeps the mail room organized.
