Human Resources Generalist II
Job Description:This position serves as the primary support for TEAMS recruitment, payroll, and credentialing processes. It also acts as a backup for faculty appointments, onboarding, and recruitment efforts. Additionally, the role supports the Human Resources Generalist I with OPS position management and related tasks. The department currently manages a workforce of approximately 239 employees. The HR Generalist II reports directly to the Administrative Specialist II on all personnel and payroll matters for the department.
TEAMS Responsibilities
1. TEAMS Recruitment & Position Management
- Prepare and submit exemption requests, PageUp postings, SPI requests, and reclassification requests for TEAMS positions. Handle all paperwork for new TEAMS hires. Update, create, and analyze position descriptions. Coordinate completion of position descriptions and submit for review. Review compensation matrices and recommend reclassifications or promotions based on position descriptions. Draft cover memos and submit final position descriptions to the Dean’s Office through PeopleSoft for approval.
2. UF Engaged Compliance
- Track and ensure timely completion of the UF Engaged reports for the department. Send reminders to supervisors for upcoming UF Engaged deadlines and follow up on completion.
3. FMLA Leave Administration
- Monitor and track departmental FMLA leave usage. Answer employee questions regarding FMLA policy and distribute necessary forms. Ensure timely submission of FMLA forms to the Central Leave Office. Input FMLA leave into PeopleSoft and the payroll system; maintain accurate leave records. Process returns from FMLA leave by submitting required paperwork and updating PeopleSoft.
4. Foreign Hires & Employee Changes
- Coordinate with the Immigration Office to complete paperwork for TEAMS foreign hires. Prepare paperwork for special pay increases, FTE changes, raises, promotions, and terminations.
5. Department Security Administrator (DSA)
- Manage and assign appropriate security roles for all staff. Ensure timely removal of security roles as necessary.
6. Advisory & Administrative Support
- Serve as the primary resource for the department Director and Assistant Director on TEAMS-related matters.
- Provide guidance to managers and employees regarding employment laws, university regulations, and personnel policies. Make staffing, recruitment, and employee relations recommendations to management.
- Prepare and submit all necessary paperwork for new extenders.
7. Pay Verification:
- Verify preliminary and final pay lists to ensure all TEAMS employees are paid accurately.
- Serve as the verifier for the Pay List to confirm accuracy for all TEAMS employees. Communicate department payroll deadlines to ensure timely completion before the UF Payroll deadline. Address payroll entry issues and manage payroll exceptions by notifying employees and guiding them on correcting errors.
8. Hospital Credentialing
- Act as the department liaison for hospital credentialing with Shands facilities. Initiate credentialing for new physician faculty by obtaining. Coordinate with the Shands Credentialing Office to ensure timely submission of privilege requests through the online portal. Manage bi-annual hospital privilege renewals for faculty and licensed staff. Ensure completion of FPPE (Focused Professional Practice Evaluations) and OPPE (Ongoing Professional Practice Evaluations) on time, signed by the Department Chair, and returned to the Credentialing Office.
9. Monitor DEA Licenses
- Monitor and follow up with employees DEA license renewal. Run reports and track active licenses and communicate with employee renewal dates, statuses, and deadlines.
10. Backup Faculty Recruitment and Hire
- Serves as backup for Faculty recruitment, and HR Generalist I.
$55,000 - $65,000.00
Minimum Requirements:Bachelor's degree in an appropriate area and two years of relevant experience; or an equivalent combination of education and experience.
Preferred Qualifications:- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
