Job Description

The University of Nevada, Reno seeks a highly organized and detail-oriented Administrative Assistant 3 with the Faculty Senate Office. This dynamic role provides comprehensive clerical, program, and administrative support to the Senate Manager, Faculty Senate Chair, Faculty Senate Executive Board, and Senate Committee Chairs.

The successful candidate will serve as the primary point of contact for visitors and callers, providing exceptional customer service and professional representation of the office while composing and managing email correspondence with faculty, staff, and administrators campus-wide. This role involves maintaining complex calendars for multiple stakeholders, coordinating scheduling conflicts, and planning, scheduling, and recording meetings for various committees and boards.

Additional administrative responsibilities include making comprehensive travel arrangements, processing related documentation, and handling budget transactions and financial administrative tasks. The position also requires gathering information and documentation related to faculty rights issues, assisting with grievance filing processes, maintaining critical email listservs and departmental webpages, and providing strategic planning support for Senate operations. Other duties include recommending improvements to office policies and procedures, conducting errands both on and off campus as needed, and performing additional tasks as assigned to support office operations.

Required Qualifications

  • Graduation from high school or equivalent education and three (3) years of progressively responsible relevant work experience which included experience in one or more of the following areas: maintenance of complex records and files; public/customer relations including explaining detailed policies, regulations and requirements; preparation and processing of financial and statistical documents such as payroll, travel, claims and budgeting forms; and assisting staff and management with projects and activities; OR

  • One (1) year of experience as an Administrative Assistant II in Nevada State service; OR

  • An equivalent combination of education and experience as described above.

Preferred Qualifications

Candidates with experience in Workday, Microsoft Word, PowerPoint, and Excel are encouraged to apply.

Schedule

The typical work schedule is Monday through Friday from 8:00 am to 5:00 pm; this is subject to change based on organizational needs.

Compensation Grade

Grade 27

In classified service, salary is in Grade and Step. The Step is determined based on the Nevada Administrative Code. Salary placement above a Step 01 at initial appointment is determined based on the recruitment, the candidate’s qualifications, internal equity and budgets. A request to accelerate salary must be approved by Human Resources and abide by the Nevada Administrative Code.
