This position requires a variety of skills and organizational duties, including, but not limited to supporting school and department administration; working directly with Department Chairs and faculty; handling all purchasing for the departments, Caine Conservatory, Culp Planetarium, and Natural Sciences Fellows Program; tracking course syllabi; assisting with the coordination of department activities and events; serving as a liaison to the surrounding university; and working collaboratively with university offices such as admissions, human resources, accounting, and communications. Additionally, this position provides support in faculty recruiting and assists in budgeting and strategic planning.
To accomplish the requirements of the position, the ideal candidate should be highly organized, detail oriented, and able to multi-task with ease. In this position, candidates will be expected to demonstrate sound judgment, professional etiquette, and exceptional analytical and problem-solving skills. Additionally, candidates must have excellent interpersonal and communication skills that will allow them to interact with a various group of people.
Required Qualifications
Associate’s degree or equivalent experience
Proficiency using various computer platforms and programs, including Microsoft 365 (Word, PowerPoint, Excel)
Basic understanding of invoicing and the procurement process
Excellent written and verbal communications skills
Strong interpersonal skills
Excellent time management skills
Strong organization and planning skills with attention to detail
Ability to work effectively with a broad range of people
Ability to work independently
Ability to maintain strict confidentiality
Preferred Qualifications
Bachelor’s degree
Experience with AP [Unimarket] and Concur Travel
2+ years of administrative experience
Ability to research, compile and analyze data and develop meaningful reports and recommendations
Duties and Responsibilities
For the departments within the Wanek School of Natural Sciences, Caine Conservatory, Culp Planetarium, and the Natural Sciences Fellows Program, manages the purchasing process from requisition to payment, ensuring orders are placed, tracked, delivered, and invoiced on time, with all appropriate paperwork submitted.
Acts as department point person for department space and maintains inventory of office supplies, ordering additional supplies as needed.
Assists with coordination and organization of department, conservatory, and planetarium activities and events, such as invited guests or speakers, academic events within departments, tours, and award programs.
Establishes and maintains records related to startup and professional developm
