Our Executive Administrative Assistant provides high-level, confidential administrative support to the Chief Executive Officer (CEO) and Board of Directors. This role requires exceptional organizational, communication, and problem-solving skills, and the ability to manage multiple priorities with discretion and professionalism. The Executive Administrative Assistant is pivotal in enabling the CEO and Board to function efficiently, strategically, and effectively.
Major Duties and Responsibilities
- Support to the CEO: • Manage the CEO’s strategic calendar, prioritizing scheduling based on CEO preferences, preparation needs, and competing demands. • Coordinate logistics and materials for CEO’s meetings and engagements. • Prepare briefing documents and assist with follow-up tasks from meetings. • Support the CEO in handling time-sensitive issues and ensure efficient workflow throughout the day. • Manage CEO’s travel arrangements and expense reporting. • Oversee project timelines and manage related communications for the CEO.
- Board Governance Support: • Coordinate logistics and documentation for board and committee meetings. • Draft, compile, and distribute board meeting materials in collaboration with the CEO and leadership team. • Maintain accurate board records, meeting minutes, committee schedules, policies, and board biographies. • Manage board election process, term rotations, and governance compliance documentation. • Assist with board technology, meeting logistics, and annual planning session coordination.
- Organizational Administration: • Prepare internal and external reports and documentation in accordance with organizational standards. • Plan and organize high-level meetings, conferences, and strategic planning sessions. • Maintain and track budgets under the CEO’s purview. • Assist project teams and contribute to project planning, execution, and documentation. • Continuously seek process improvements across administrative workflows.
- Must comply with all company policies and procedures, applicable laws and regulations, including but not limited to, the Bank Secrecy Act, the Patriot Act, and the Office of Foreign Assets Control.
Knowledge and Skills
Experience
Eight years to 10 years of similar or related experience, including preparatory experience.
Education/Certifications/Licenses
A college degree.

FULL TIME POSITION
Starting Range: $62,342.04 - $69,763.72
Full Range: $59,373.38 - $89,060.07

Physical Requirements
Is able to bend, sit, and stand in order to perform primarily sedentary work with limited physical exertion and occasional lifting of up to 10 lbs. Must be capable of climbing / descending stairs in an emergency situation. Must be able to operate routine office equipment including computer terminals and keyboards, telephones, copiers, facsimiles, and calculators. Must be able to routinely perform work on computer for an average of 6-8 hours per day, when necessary. Must be able to work extended hours or travel off site whenever required or requested by management. Must be capable of regular, reliable and timely attendance.
Working Conditions
Must be able to routinely perform work indoors in climate-controlled shared work area with minimal noise. Position will require extensive travel.
