Contract: Independent Contractor
Client Timezone: Victoria Australia Time Zone
Work Schedule: Monday to Friday 9:00am to 6:00pm Victoria Time with 1 hour unpaid break
We are seeking a detail-oriented Finance and Operations Coordinator to join our growing custom home building organization. This role will manage financial operations, compliance, and administrative processes across our construction, carpentry, and plumbing divisions, supporting our growth in high-end custom builds.
Key Responsibilities
Financial Administration
- Reconcile transactions in Xero across multiple entities (Monday/Wednesday/Friday).
- Manage complex GST allocations, including GST-free construction items.
- Process and allocate receipts with thorough documentation.
- Track and reconcile inter-company transfers.
- Maintain dedicated savings accounts for tax, superannuation, and long service leave liabilities.
- Verify invoice numbers and payment matching.
- Manage payroll-related transfers.
Payroll Management
- Process weekly payroll using standardized spreadsheets.
- Track employee hours and calculate provisions for PAYG, superannuation, WorkCover, and long service leave.
- Process holiday pay and manage leave arrangements.
- Maintain comprehensive employee time records.
Compliance & Safety Administration
- Maintain safety documentation, tool registries, and fire extinguisher records.
- Ensure compliance documentation is current and properly filed.
- Verify insurance requirements across all entities.
Project & Asset Administration
- Monitor and process construction-specific and insurance documentation.
- Maintain subcontractor records, trade accounts, and supplier relationships.
- Track vehicle documentation and asset registries.
- Process and track supply orders.
Success Metrics
- Transactions reconciled within 48 hours.
- Zero GST allocation errors in quarterly reviews.
- Liability accounts funded weekly.
- Complete and current compliance documentation.
- Timely and accurate payroll processing.
- Proper maintenance of registries and records.
Requirements
Required Qualifications & Skills
Technical Skills
- Proficiency in Xero and advanced spreadsheet tools (Excel/Google Sheets).
- Strong knowledge of Australian payroll requirements and process documentation tools.
Knowledge & Experience
- Experience in multi-entity financial management and construction industry GST requirements.
- Familiarity with payroll compliance, safety, and construction documentation.
