The Resource and Information Management Division (RM) of the Fiscal Affairs Department (FAD) is seeking a contractual administrative coordinator to provide operational and administrative support for the department's capacity development (CD) activities. The selected candidate will be part of a team providing support for the organization of missions by divisions, administration of the fiscal expert roster, and recruitment of field experts. Tasks and duties include:

  • Input and update mission travel information into the Travel Information Management System (TIMS) for staff and experts on an ongoing basis.

  • Assist with maintenance of TIMS, including mission, expert roster, and capacity development report finalization information.

  • Assist with administrative arrangements for recruiting and contracting of experts and processing travel authorizations; liaise with other departments (Human Resources, Finance, and Information Technology Department), as well as with FAD divisions, on expert contracts, security, and travel arrangements.

  • Explaining the Fund's policies and procedures relevant to CD work and expert administration.

  • Contributing to reviews of all aspects of CD operations and information flows, monitoring adherence to contract terms and following up on critical issues including IT issues, security problems, medical emergencies, and payment of experts.

  • Contribute to the administration of externally financed CD projects, including preparing and reviewing documentation and managing deadlines.

  • Work with the Budget and TA Officers to provide relevant data and analysis relating to CD and budget.

  • Contribute to special projects.

Qualifications

The selected candidates must possess: 

  • High level of planning, organization, and multitasking skills as well as ability to prioritize assignments.

  • Excellent oral and written communication and interpersonal skills to interact effectively with Fund staff and external contacts at all levels.

  • Knowledge of enterprise systems (such as PeopleSoft) and advanced Excel functions.

  • Ability to work independently and as a member of a team, to learn quickly, and to work under tight deadlines.

  • Client-focused personality and strong team player with strong problem-solving skills, creativity, initiative, and attention to detail.

Knowledge of French and/or Spanish would be desirable.
