The Role
We are seeking a highly organized and proactive individual to join our team as an HR Project Specialist. This role requires exceptional administrative skills, the ability to manage multiple tasks efficiently, and the capacity to support executives in a fast-paced environment. This role will have responsibilities within HR Projects, Executive Support, and Local Office Support.
HR Project Specialist:
- Support the planning, coordination, and execution of various HR activities aimed at enhancing employee experience, optimizing HR processes, and achieving organizational goals.
- Assist in the development of project plans, timelines, and milestones in collaboration with HR leadership.
- • Monitor project progress and ensure deliverables are completed on time and within scope.
- Collaborate with cross-functional teams to support HR initiatives and ensure alignment with organizational objectives.
- Maintain project documentation and records, including project plans, reports, and correspondence.
- Provide administrative support to the HR department as needed.
Executive Support:
- Provide administrative support to the Information Protection Executive and Tessian Senior Leadership Team, including managing calendars, scheduling meetings, and arranging travel itineraries.
- Balance workload and priorities across time zones by supporting leaders in Boston and in London.
- Draft email correspondence to external stakeholders including customers and partners
- Coordinate internal and external group meetings including external events with top Fortune 500 CISOs
- Participate and coordinate weekly LT meetings and monthly all-hands including creating of PowerPoint decks for internal meetings as needed.
- Act as a liaison between executives and internal/external stakeholders, maintaining professional communication and confidentiality.
- Handle ad-hoc tasks and projects as assigned by executives, demonstrating flexibility and adaptability.
Local Office Support:
- Partner collaboratively with the Real Estate and Workplace Services organization to help facilitate the day-to-day operations of the office.
- Provide general support to local Boston employees.
- Serve as point person for ordering and stocking of supplies, kitchen items, and food and beverage programs.
- Work in coordination with REWS on office maintenance and repairs, ensuring a safe and productive work environment.
- Facilitate employee inquiries and concerns related to office facilities and administrative processes to the right channels to help ensure a productive employee experience.
- Foster a positive and collaborative office culture by organizing team-building activities and promoting employee engagement initiatives.
What you bring to the team
- 4-year degree from an accredited college or university
- Minimum of 4+ years of relevant experience working in a human resources or executive assistant capacity.
- Proven experience as a project coordinator or administrative support, preferably in HR or related field.
- Exceptional organizational and time management skills, with the ability to prioritize tasks effectively.
- Strong communication and interpersonal skills, with a professional and approachable demeanor.
- Proficiency in Microsoft Office Suite and other relevant software applications.
- Ability to maintain confidentiality and exercise discretion in handling sensitive information.
- Flexibility to adapt to changing priorities and work under pressure to meet deadlines.
- Knowledge of HR processes and practices is a plus.
- Previous experience in project management or event planning is a plus.
