Overhead Door Company of St. Louis, a DH Pace Company, Inc. aspires to hire a full time Project Admin at our office in St. Louis, MO. This is a great opportunity for a detail oriented, organized individual to join a team of dedicated professionals. This role will be responsible for general paperwork administration and reporting required for the designated construction projects in the department.
Job Responsibilities:
- Provide administrative support to the Project Management Team for activities associated with multiple projects
- Setup job files, gather all materials and labor costs, compute job material costs, labor costs, and other miscellaneous job costs and prepare job files for billing
- Prepare and ensure master contract documents, including but not limited to, subcontracts, purchase orders, change orders, requests for information forms, proposal request forms, insurance certificates, and architect supplemental instruction forms are completed, checked in, copied, distributed, and filed
- Prepare, track, and distribute submittals to vendors and/or subcontractors and maintain daily logs to assure that the required submittals from vendors and subcontractors are current
- Collaborate and communicate with a wide range of professionals both internal and external to the organization to ensure success of each project
- Review job contracts for contractor/subcontractor requirements and ensure that all documents and forms to request payment from the contractor are completed properly
- Enter jobs on open projects list, track jobs for billing balance and monthly cutoff billing dates, and tracking backlog billing information
- Prepare and organize weekly labor reports and labor logs, distributing to managers for their use in job cost projections if applicable
Job Requirements:
- Must have strong attention to detail
- Excel experience is required
- Must be technically inclined with strong mathematical and mechanical skills
- Need to be able to multi-task and work efficiently in a fast-paced environment
- Strong Microsoft Office and computer skills
